The Role


The External Relations Directorate comprises seven units: Marketing, Student Recruitment and Admissions, Corporate Communications, Engagement, Communications, Advancement and the International Office. Together, these units are responsible for all of our interactions with prospective students, University stakeholders and the public. Led by the Executive Director of External Affairs, the directorate contains around 250 colleagues and is part of the University's Academic Hub.


Working as part of the External Relations Operations team you will support all administrative functions and processes within the Directorate including finance, HR/people processes, diary support and health and safety.

We benefit from a modern executive office environment at the heart of the University and Newcastle city centre. We're following a blended working approach, with a mix of campus-based and remote working.

Key Accountabilities
Provide operational support across the directorate, ensuring that relevant University policies and processes are followed
Act as a point of contact for queries from internal and external stakeholders
Provide diary management and support for senior managers as directed
Assist in the arrangements of meetings involving internal and external stakeholders, inlcuding minute taking, booking rooms and arranging catering as required
Support finance related activities including but not limited to processing payments, maintaining SAP records, organising deliveries, and responding to queries, adhering to relevant policies and procedures
Administer People related processes, including recruitment, onboarding, induction, administering annual leave and absences
Work with colleagues to support effective communication across the External Relations Directorate. This includes updating membership of and sharing information using Teams sites, mailbases, shared drives and public folder facilities as directed
Support health and safety processes and the smooth running of the office e.g. by submitting and monitoring estates and portering requests
Assist in the production of information and reports for managers across the directorate, as required
Other duties may be allocated by the Operations Manager/ Deputy Operations Manager

Knowledge, Skills and Experience
Ability to work accurately with attention to detail
Competent in the use of Microsoft Office and wed-based databases
Good communication skills - in both verbal and written communications to a wide range of audiences
Good planning and organisational skills
Ability to learn quickly and use processes and systems
Problem-solving skills and ability to use initiative
Ability to work to tight deadlines with a high level of accuracy
Ability to work well as part of a team but also independently

Qualifications:

Educated to GCSE level with Maths and English grade A-C or equivalent.
