Position Summary:
The UK Administrative Coordinator position will be responsible for supporting the growth and efficient day to day operations of the global Policy and External Affairs (PEAD) team.
At a time of rapid growth for the company, Wildlife Works is looking for a motivated and activated self-starter who is enthusiastic about starting a career in tropical forest conservation, community development and climate emergency responses.
This is an entry level position with room to grow in various areas of the organization.Essential Duties and Responsibilities include:
- Provide administrative support to PEAD Department Director
- Manage inbox and calendar
- Schedule appointments for management and administrative duties such as annual reviews, budget planning, annual events planning
- Support main department functions such as
- Help build contact database for organisations and individuals in our key countries, and across our relevant stakeholder groups (Indigenous Groups, Project Developers, Government Officials etc.), help build key account management system to be applied in all our key countries;
- Proof reading, editing and final formatting of slide decks, position papers, reports and other communication material;
- Handle administrative functions in the Brighton office by performing activities such as:
- Manage and lead organization of operational documents in Dropbox, Google drive, as well as physical file management
- Maintain calendars
- Source IT infrastructure and support where needed
- Assist with travel and accommodation arrangements
- Keep office stocked with office supplies and equipment
- Ensure a clean, safe, wellorganized office
- Assist with day today corporate team requests, including filing expense reports
- Meeting and event coordination:
- Plan office events and meetings, including luncheons, holiday events, and on and offsite activities
- Schedule and coordinate team meetings, both in person and virtual
- Perform other duties as assigned.
Requirements:
- Prior experience performing administrative support to an organization;
- Strong computer skills, including a solid understanding of Excel spreadsheets, professional working knowledge of Word, Microsoft Office, Google Suites;
- Selfmotivated and curious; always wanting to grow and learn more, strong interpersonal, collaboration, and influencing skills;
- Exceptional workethic and sense of responsibility; detailoriented, with focus on quality and accuracy; resourceful at getting to the root of problems and finding solutions;
- Flexible and able to pivot as circumstances require; embraces change;
- Multilanguage and multicultural capabilities are always a plus, conversational French is highly desirable;
- Great organizational skills, the ability to work independently, switch gears, and take initiative;
- Ability to meet deadlines and collaborate and maintain good communications across multiple time zones;
