Receptionist - Cardiff
£19,000 to £21,000 (pro-rata based on 37.5 hours per week).

24hours, 3 days per week, 8:30am-5pm, Monday, Tuesday and Thursday.


About The Behaviour Clinic


We are an evolving service using the principles of applied behaviour analysis to support typically developing children with emotional and behavioural difficulties and their families.

The Behaviour Clinic works across South Wales and Southwest England providing in home and clinic-based support to children with complex challenges such as anxiety, aggression, self-harm, skill deficits, sleep challenges, and attachment difficulties.

Many of the children we work with have experienced neglect, trauma, and have complex backgrounds.


Receptionist
We would like to recruit a receptionist to be based in our Cardiff clinic.


The role of a receptionist should have excellent communication skills, both written and verbal and to provide support to managers, other employees, and clinic visitors.

Receptionists will need to be professional, polite, and attentive while also being highly accurate in your work.

You will need to demand a standard of excellence in yourself in all areas of work you are involved in, whether this is in inputting data, creating an editing documents or in your interactions with your team and our clients.

You will often be the first-person Clients come into contact with at The Behaviour Clinic and you have to be highly conscious of presenting the best service and image you can.

You should always be prepared and responsive, willing to meet each challenge directly.

As an Administrative Assistant you must be comfortable with computers, general office tasks, and excel at both verbal and written communication.

Most importantly, you should have a genuine desire to help others in the office.

Essential:_

  • Opening and closing the clinic.
  • Greet and assist visitors to The Behaviour Clinic.
  • Set up the clinic in the morning as the first individual in the clinic.
  • Handling office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies and materials.
  • Entering information into The Behaviour Clinics computer systems and creating electronic files. Have a good knowledge of the salesforce, SharePoint and therapist community systems.
  • Supporting the Business Support Manager with billing and invoicing.
  • Providing realtime scheduling support by booking appointments and preventing conflicts.
  • Making travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations.
  • Screening phone calls and routing callers to the appropriate party.
  • Using computers to generate reports, transcribe minutes from meetings, create presentations, and conduct research.
  • Setting up and maintaining technology.
  • Monitoring the clinic for any needed repairs or anything that will physically impede the running of the business or present a less than excellent company image and work with the Business Support Manager to rectify any problems.
  • Preparing Birthday Cards for patients.
  • Anticipate the needs of others in order to ensure their seamless and positive experience
  • Use The Behaviour Clinics Value Chains to guide your work.
  • Work towards Mastery as a Receptionist.
  • To provide the best image you also want to ensure you come to work in appropriate attire that presents a professional image.
  • To support the MAPSS administrator.

Desirable

  • Some knowledge or experience of working with children in this environment.
  • Own transport and willingness to travel to other clinics if required.
