This role will assist all financial operations of the School liaising with the Director, the senior Finance officer and external accounting and consultants.
The role may also include more general administration activities undertaken within a small team.A team player attitude is essential as the role will also require involvement in many ad hoc activities to support the school's activities.
Main responsibilities within the Finance department include:
Purchasing
- Checking and processing supplier invoices and credit notes
- Reconciling supplier statements
- Maintaining accounts including taking incoming calls from suppliers chasing payment and resolving any supplier queries
- Paying creditors according to agreed terms or preparing spreadsheets for BACS runs
- Suggesting cost savings where necessary
- Responsible for administrative and academic purchasing proposals, its processing and its purchase
- Maintaining and reconciling preapproved budgets for various departments
- Processing statements of expenditure and replenishing petty cash floats
- Raising fee invoices and credit notes (where applicable) for tuition fees, uniforms and others using a Student Management System
- Reconciling and maintaining accounts
- Supporting the Admissions Department in the process for chasing payment
- Supporting the Director in the operation of all bank accounts to correctly record income and payments including month end support
- Maintain accurate financial records including collecting and entering data on our financial systems and spreadsheets
- Review department budgets including trend analysis
- Drive process improvement and policy development initiatives
- Assisting external Accountancy firm during year end audits, etc.
- Preparation of month end and adhoc journals
- Liaising, where necessary, with the external accounting firm on payroll and salary deductions on loans or advances in conjunction with HR
Essential and preferred skills/experience:
Excellent Microsoft Office skills (including Word, Excel, PowerPoint, and Outlook) and Google Suite skills are essential.
Superior attention to detail, accuracy, and advanced mathematical and computer skills are critical.
Expert planning and the ability to understand budgets are key, together with effective research, analytical, and proven problem-solving skills.
Excellent organisational skills, adaptability, and flexibility are essential for this role. As you would expect, the ability to meet deadlines with quality work product is imperative.
Develop and maintain positive working relationships with others; support team to reach common goals; listen and respond appropriately to the concerns of other employees.
