We are looking to recruit an enthusiastic, motivated & experienced person to provide administrative support to the Patient flow team.


You will be required to demonstrate excellent organisational skills, whilst being flexible to the needs of the service and wider team.

You should have excellent IT skills, with advanced abilities using Microsoft systems, including the ability and desire to learn other IT systems used within the trust.

The post holder will also have exceptional communication skills when liaising with patients, relatives, other staff members and health care professionals.


JOB SUMMARY
The post holder will provide administrative support to the Patient Flow Team, in a responsive and timely manner.


The post holder will demonstrate excellent organisational skills whilst being flexible to the needs of the service and wider team.

The post holder will also have exceptional communication skills when liaising with patients, relatives, the immediate team, other staff members and health care professionals.

Will closely follow process and policies in relation to the role.


As part of integrated working the post holder will be expected to work dynamically with secretaries and clinicians in the wider organisation.

DUTIES AND RESPONSIBILITIES
To coordinate the administrative aspect of the Patient Flow team

All communications and other correspondence are prepared promptly and to a high standard.

Registration & processing of Repatriations, Situation reports, minutes for meetings, distribution of data in spreadsheets.

To deal with telephone enquiries from patients, relatives and health care professionals whilst maintaining a helpful and courteous manner at all times and ensuring messages are transmitted to the correct person in a timely fashion

To collate information for audit and KPIs, produce reports and input onto appropriate databases.

To answer and respond to any administrative queries the team may have on a day-to-day basis.

To prioritise own workload and deal with all correspondence & documentation and reply as required.

Record, sort, prioritise and distribute all incoming internal and external mail, ensuring appropriate action is taken.

Identify and improve office administration systems as appropriate

Arrange meetings as directed, liaising with attendees and confirmation of room bookings.

Minute Team meetings and distribute them along with the agenda's to all attendees as required.

Maintain an effective filing system.

Liaise with estates regarding repairs, or order equipment as needed.

Raise stock orders ensuring correct budget codes are stated before sending for signature, verification and payment. Liaising with the procurement department for delivery of stock items

To use all office equipment including photocopier and scanner.


To attend all Mandatory and Statutory training courses in order to ensure all training is up to date and complies with legal requirements.

To observe all responsibilities and carry out all duties relating to Health and Safety in accordance with local policies and statutory requirements

To deal with problems as they occur and provide solutions/ideas when applicable.

The post holder should be fully aware and knowledgeable in issues concerning all policies and procedures

Where necessary relevant training in the operation of new or unfamiliar equipment, software or procedures will be provided or arranged.
