The Operations Support Officer will provide support across 2 areas of Operational Communications; Print & Mail and AV and Presentation Services.


The role will see the post holder working within 2 very experienced and established teams proving a supportive and friendly working environment.

The main duties will be to sort, process and deliver inbound mail items.


Onward delivery duty involves transporting mail items from Openshaw to the Town Hall on a daily basis using the mailroom van.


The post holder will be required to drive the mailroom van when needed and share this duty with others within the team so that there is always someone available to perform this task.


Dealing with face to face internal customer enquiries when delivering and collecting mail from the Town Hall or any other sites.

The post holder will be required to provide advice and guidance to customers regarding mail and how to use the service.

This will include recommending the best and most efficient way to send some items through the mail system.

To process and prepare outbound mail items for collection by mail provider.

All mail processed must be presented and completed in-line with all mail provider requirements, including the creation and provision of paperwork and mailing information data.

To support the main production team with various admin tasks and physical operating of multiple items of equipment.

Admin tasks will include basic data entry and access and use of various supplier systems for inputting information and booking in work for collection.


In addition to the duties of the Print & Mail team, the role also requires AV delivery support for various Council functions and meetings.

These duties include; transfer of equipment, set up and install, operating and monitoring equipment performance and operation during event delivery and removing and storage of all equipment used.


Most of the duties for the AV team will be undertaken in and around the Town Hall and so the role will be split across 2 sites / teams but there will be a process for managing this using a planned rota but there could be variations to this during peak times where the post holder may be required to undertake duties for one area for more prolonged periods.

Full training will be provided for the safe and correct operation of all equipment used across the 2 teams.


The role itself is mainly a manual one with much of the Print & Mail work being non-desk based so there will be large periods where the post holder will be on their feet standing or moving between areas of equipment.


Prolonged sitting will only really occur during the delivery or meetings or events where the post holder could be sat at the AV and PA delivery desk for the duration of the presentation.

Comfort breaks and personnel swap overs will be worked in for longer meetings such as full day conferences etc.


There is some manual lifting involved (boxes, mail bags and AV equipment) but most tasks are short-lived and weight limits are applied so nothing deemed too heavy is moved without adequate assistance or equipment involved such as box trolleys, cages and pump trucks where applicable.

We are looking for someone who is confident and likes to work as part of a team.


Communication skills are key as the post holder will be working with staff from other services as well as their direct colleagues.

Being comfortable speaking to people and advising directly or sign-posting to further support is very important.

As ambassadors for the service and the Council good personal skills are essential.


Working with multimedia equipment and AV systems requires certain levels of concentration so we are looking for someone who can remain focused and concentrated for varied periods of time.

In the main when supporting the delivery of an event there are not many issues but being alert to something which many not be working correctly or could be at risk of failing is important.


The post holder would need to be a confident as well as competent driver being comfortable driving the mailroom van across Manchester.

The journey itself is relatively short but it will be during some busy times of the day with high volumes of traffic so they would need to be ok to do this when required.

The mailroom van currently used is an electric automatic vehicle so all UK driving licences should be suitable for this.


We want someone who can work well within in tight timescales as some of the functions involved across both Operational Services are time critical.

This includes having the mail ready and sorted for delivery and collection (target times for both to be completed) and making sure that meetings the AV team are supporting can commence on time from a technical set up and testing perspective.
