An opportunity for a part time administrator to join our team in the Estates and Facilities department has arisen.


About the Role:

A varied role providing administrative/secretarial support services to the Estates & Facilities Team, implementing administrative systems, procedures and policies.

You will work alongside a range of stakeholders including, scientific research staff, health and safety teams, procurement, finance, and tenants.


You will be responsible for:


  • The planning & coordination of busy team diaries and calendars, ensuring availability as required, for meetings with both internal and external stakeholders.
- liaison, co-ordination and communication with team members and co-ordination with relevant Board Secretariat as and when required.

  • Organisation of departmental, internal and external meetings, providing full administration including; tracking and following up on actions, making sure all participants have the information required to participate fully in meetings. Take minutes of meetings and distribute as required.
  • Placing purchase orders as necessary for both general and staff orders and wider contracts. Raising, receipting and accurate management of purchase orders within our accounting system.
  • Ordering and processing credit card purchase requirements and reconciliation of monthly claims, liaising with the finance department.
  • Liaison with other administrative staff so that best practice can be developed and shared.

Essential Skills:


  • Administrative experience within a busy office environment, (ideally in facilities but not essential)
  • Excellent communication & interpersonal skills
  • Ability to build and maintain strong stakeholder relationships.
  • Ability to work independently, using own initiative and as part of a team
  • Good organisational skills, attention to detail and the ability to manage conflicting deadlines simultaneously.
  • Confident IT skills including a good working knowledge of Microsoft office Suite.
  • Ability to manage, plan and prioritise a wide range of tasks to meet changing and diverse demands.

About Us:


Estates and Facilities are a busy team proactively supporting the the scientific research organisations and partners located at the Wellcome Genome Campus, managing and operating services including but not limited to; Engineering, Cleaning, Catering, Waste, Grounds, Wetlands Nature Reserve, Green Transport, Nursery, Energy, Sustainability and projects.


Other Information:


  • This role is based on site for 22.5 hours per week.
  • Working pattern is flexible and to be agreed
  • Salary in the region of £32,000 to £38,000 (FTE)
  • Closing date 15th November
