£20.000/ depending on experience)

Role description
The Student Services Team works in the busy front-of-house and provides the hub of student services provision and a welcome for all visitors and callers


Student services include:

processing bookings and offers for direct students and walk-ins, providing information on all aspects of student life, from courses and accommodation options and prices, activities & tourism, to visa information, dealing with enquiries and complaints, booking arrival and departure transfers.

Job Summary


The Student Services Officer (SSO) is a key member of the Student Services team and supports all students, already here and due to arrive, and our agents.

The SSO works closely with the EFL, Academic, Welfare and Accommodation Departments.


Front of House duties

  • Welcome visitors and assist in the arrangements for their visit if necessary
  • Help students with general enquiries
  • Provide advice and information regarding courses, services and admissions to a range of customers, including partners overseas and applicants
  • Process (through CRM system) local 'walkin' enquiries
  • Greet and register new students
  • Collect and distribute daily post; frank and post letters and parcels
  • Keep the front desk area tidy and in good order
  • General office duties and filing
  • Order stationery and office supplies
  • Assist with agent visits
  • Answer queries on student activities such as lectures, social nights and clubs

New student processes and data input

  • Prepare for Monday student inductions
  • Book arrival and departure taxi/coach transfers for students and contact host families, student houses & residences staff
  • Welcome all new students and take passport, visa, BRP, medical, emergency contact and personal data
  • Record student data on the CLASS and ISAMS databases and run reports regularly to ensure information is complete, accurate and up to date
  • Create medical report for Activity Leaders by lunch on Monday
  • Take new student photos to create student ID cards
  • Process police registration for new students as necessary
  • Prepare the weekend emergency pack for staff who have the weekend emergency phone and take shifts as allocated

Extra responsibilities

  • Provide cover for the UK domestic enrolment process working closely with the Principal and the Development Director
  • Provide IT support when the IT Manager is unavailable
  • Kings First Aider, Fire Warden, Emergency phone holder (optional and by mutual agreement; emergency phone holder would be paid an additional rate)

Essential Skills/Experience

  • Minimum two years of office administrative experience or similar
  • Experience of working with international students and/or young adults in a supervisory role
  • Outstanding communication skills, both verbal and written, with sound commercial sense
  • Efficient organisational & admin skills with excellent attention to detail
  • Strong IT skills including competence with Microsoft Office (especially Excel and Outlook) and databases
  • Ability to learn and adapt quickly and cope in challenging situations
  • GCSE Maths & English Grade C or above

Desirable Skills/Experience

  • Experience working within an English language school
  • Additional language(s)

Successful appointment will be dependent upon:

  • Enhanced DBS check (including photo ID check)
  • Confirmation of right to work in the UK
  • Two satisfactory references (comments on suitability to work with under 18s will be sought)

Salary:
£20,000.00-£23,000.00 per year
