Position Summary

As an Order Management and Billing Specialist, you will play a crucial role in the end-to-end order processing and billing operations for our customers.

You will be responsible for ensuring accurate order management, timely invoicing, and resolving billing-related queries.

Your meticulous attention to detail, strong analytical skills, and customer-centric approach will be essential in maintaining efficient order processing, optimizing billing processes, and providing exceptional service to our customers.


  • This position is temporary and will support our Enteprise Resource Planning (ERP) Software Integration Project team with data migration and other project related intiatives. The project term is six months.

- **Primary Responsibilities**:
  • Data Validation and Order Processing_
  • Process customer orders promptly and accurately, ensuring compliance with company policies and procedures.
  • Review and validate orders for completeness, accuracy, and adherence to contractual terms and conditions.
  • Collaborate with internal teams, such as sales, finance, and operations, to address orderrelated issues and ensure smooth order fulfilment.
  • Billing and Invoicing_
  • Generate and issue accurate and timely invoices to customers based on approved orders and contract terms.
  • Ensure billing accuracy, resolve billing discrepancies, and address customer inquiries related to invoices.
  • Collaborate with finance and operations teams to reconcile billing records and support revenue recognition activities.
  • Order Documentation and Record Keeping_
  • Maintain comprehensive and uptodate order records, including contracts, purchase orders, and related documentation.
  • Ensure proper documentation and archiving of billing records for audit and compliance purposes.
  • Develop and maintain a systematic approach to organize and retrieve orderrelated information.
  • Customer Service and Issue Resolution_
  • Collaborate with customers and internal teams to resolve orderrelated issues, billing disputes, and inquiries in a timely and professional manner.
  • Provide exceptional customer service, ensuring customer satisfaction throughout the order management and billing process.
  • Proactively identify areas for process improvement to enhance the overall customer experience.
  • Adhoc Data Entry_
  • Assist with adhoc data entry tasks, such as updating customer records, order details, and billing information.
  • Ensure data accuracy and completeness while maintaining confidentiality and data security.
  • Support the team with datarelated tasks to streamline processes and maintain accurate reporting.

Experience & Skills

  • Strong attention to detail and accuracy, with the ability to handle complex billing scenarios and contractual terms.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with internal teams and customers.
  • Strong problemsolving and analytical skills, with the ability to identify issues and propose solutions.
  • Customercentric mindset, with a focus on delivering exceptional service and resolving customer inquiries.
  • Ability to work independently in a remotebased environment and manage priorities effectively.
  • Familiarity with financial and accounting principles related to billing and revenue recognition.

Required Qualifications

  • Proven experience (3+ years) in order management, billing, or a similar role, preferably in the software industry.
  • Professional Proficiency or Bilingual in French / English languages
