Facilities Management Lead

  • Location: New Cross Hospital, Wolverhampton
  • Salary: £45,000£48,000
  • Permanent, fulltime


This role involves managing a team of Facilities Management professionals, ensuring that facility services are maintained and repaired in accordance with client contractual requirements, agreed timelines, and budgetary constraints.

The primary objective is to minimize reactive workload through effective maintenance practices.

It should be noted that tasks such as construction, major structural repairs, and repair of electronic and complex medical equipment are not within the scope of this position.

The Facilities Management Lead will adopt a patient-centric approach in fulfilling all Facilities Management obligations.


Key Responsibilities:


Management Tasks:

  • Directly supervise the Facilities Management team, including handling HR matters, approving leaves, conducting performance appraisals, and addressing training needs.
  • Ensure adequate Facilities Management support is available during core operational hours, including participation in an oncall schedule.
  • Manage building lifecycle and medical preinstallation activities, including budgeting and cost management.
  • Collaborate with the Contracts Manager to provide Facilities Management data for monthly performance reporting.

Planned Preventative Maintenance Tasks:

  • Develop and manage planned preventative maintenance (PPM) plans using the CA Facilities Management system, ensuring compliance with contractual obligations and staying updated on relevant legislative or regulatory changes.
  • Assign and carry out PPM tasks received through the helpdesk, even if outside regular working hours.
  • Ensure timely completion of PPM tasks by the Facilities Management team, adhering to performance obligations. Escalate issues to line management when necessary.
  • Efficiently plan PPM tasks, considering practicality, minimizing downtime, and evaluating factors such as accessibility, tools, cost, competency, and availability of parts.
  • Accompany contractors as needed, including outside of core hours.
  • Inspect subcontractor work and follow up on any necessary corrective actions.
  • Accurately document job sheets and close tasks, providing precise records of results and comments.

Reactive Maintenance:

  • Support the Helpdesk in assigning tasks to the Facilities Management team or relevant subcontractors.
  • Ensure Facilities Management duties are carried out according to agreedupon service levels.
  • Provide technical support to the Facilities Management team.
  • Respond to reactive tasks reported by customers to the helpdesk, prioritizing based on service level agreements.
  • Assess and estimate the required time and materials for initial attendance.
  • Arrange for subcontractors to attend when necessary.
  • Maintain accurate and timely records on job sheets, including results and comments.
  • Consult line management in case of interruptions or delays to planned maintenance for any Facilities Management team member.
  • Participation in the On-Call Rota is mandatory.

Proactive Maintenance:

  • Proactively identify tasks that have not been reported but require attention.
  • Ensure all team members complete assigned tasks.
  • Participate in routine site walks with line management to identify and document potential defects or issues.
  • Report any observations or issues to line management for further investigation.

General Responsibilities:

  • Maintain appropriate stock levels of spare parts and obtain quotes and part information for approval.
  • Serve as the initial escalation point for Facilities Management work while notifying line management of potential noncompliance breaches.
  • Provide feedback on team performance and conduct reviews.
  • Deliver monthly overviews of Facilities Management performance to line management.
  • Review the suitability of Facilities Management contractors.
  • Ensure compliance with health and safety (H&S) requirements, including providing support to the competent person, reviewing documentation, and assisting with external audits.
