Working hours: 36 hours per week

An opportunity has arisen in the Planned Care Department for a 36 hour Administrative Assistant. The post is based within the Vascular Department in the Planned Care Division.


The successful post holder will be expected to provide administrative and clerical support to the VTE specialist nurses in the Vascular Department within the Planned Care Division.

The post-holder will work closely with a team of secretaries, nurses and consultants and will be required to undertake a range of duties as appropriate.

The post-holder is responsible for collating, assessing and validating information relating to the VTE (venous thromboembolism) speciality as well as will provide an efficient and confidential clerical service including data entry, audio typing, telephone queries and filing.


Knowledge of medical terminology and experience in the use of Cerner would be a distinct advantage, but full training will be provided.

Administrative Responsibilities

  • Provide administrative and clerical support to the Vascular team
  • Responsible for maintaining efficient data management systems
  • To ensure the accuracy of data on the hospital computer system and To ensure all VTE information is inputted accurately onto the relevant database.
  • To identify relevant patients for VTE by checking documentation relating to the patients.
  • To attend relevant adhoc meetings, including bi-annual thrombosis committee and RCA panel, to document minutes and complete outcome and follow up forms from clinician.
  • To ensure month end VTE reports are validated and the system updated to reflect any changes. Feedback the updated data to the appropriate teams by the requested deadline.
  • Collate data for external audits (GIRFT AND FOI requests)
  • To chase tests and investigations for patients as per nurse instruction
  • To cover general office duties as and when required.
  • To attend RCA meeting and action outcomes accordingly if required.


The Countess of Chester Hospital NHS Foundation Trust consists of a 600 bedded large District General Hospital, which provides its services on the Countess of Chester Health Park, and a 64 bedded Intermediate Care Service at Ellesmere Port Hospital.
