Job Title Administrator and Personal Assistant
Contract & Pay:
- Parttime, 8hrs per week initially
Location:
Mostly working from home (preferably based within 4 miles of charity's registered address
- IP5 2GF). Sometimes required to attend meetings and work from Project Manager's home (postcode above)

We are seeking an organised and experienced individual to join our team.
You must be an admin whizz, ferociously efficient and passionate about improving the lives of people with Down's Syndrome, committed to working flexibly and adaptable for this role.

Requirements:

Applicants must be aged 18 or older
Desired education:
- Minimum of 5 GCSEs at Grade C or above (including Maths and English)
- Business
Licence required:

- Full driving licence
- Access to own car during work hours
Desired experience:
- Previous administrative experience
- Previous experience in payroll
- Previous experience working with an online accounting package
- Ability to diary manage (e.g. can work to the charity calendar)
- Knowledge of the local Down's Syndrome Community and their key ambitions, goals and aims
Necessary skills:
- Excellent organisation skills
- Excellent communication skills
- Good attention to detail
- Ability to work with an online accounting package
- Ability to work from home when required

Working hours: 8hrs per week
- Flexible and part time
- Permanent role (dependent on successful funding)
- More hours may be required on an adhoc basis during busy periods for the charity. Opportunity to extend hours should the role develop and require this.

Aim of the role:
- To assist the Project Manager with administrative tasks across the charity
Main purposes of job
- To complete the charity's administrative tasks to a high standard
- To facilitate the Project Manager in efficient administration of charity
Key tasks
- Complete charity admin to a high standard, including;
- Complete payroll tasks to a high standard, including;
- Collating timesheets and preparing payroll each month
- Answer/signpost new enquiries from website
- Ensure all sensitive information is appropriately stored and
- Keep updated records of Staff DBS checks and training undertaken
- Assist with stock replenishment (e.g. refreshments for Saturday classes, Culture Clubs and holiday activities)
- Collate, order and arrange delivery of Project 21 logo clothing
- Assist Project Manager with administration for large events (e.g. annual Charity Dinner Ball fundraisers, annual stage performances)
The charity's key objectives
- Promote a positive, community atmosphere within the charity
- Promote the work of the charity within the branch areas, expanding the reach of Project 21 in all branch areas
Responsibilities
- To share the vision and ambitions of Project 21 the organisation
- Support and develop existing links and partnerships with suppliers, local businesses and the wider community
- Provide a friendly, professional service to all partnerships, suppliers, staff, parents and members of the charity
Working with the board of Trustees:The Project Manager will report to/liaise with trustees of Project 21 (please refer to the Governing Body document or charity website for further information on current trustees, the regularity of trustee meetings and their individual roles).
