Medical Secretary to Consultant Community Paediatrician

  • Band 4
£28,057 - £30,390 Inc HCAS per annum pro rata

Part-time 18 Hours per week Wednesday to Friday 9am - 3pm

Bromley Healthcare are currently looking for a part-time Medical Secretary to join our Community Paediatric Team for 18 hours a week 9am-3pm Wednesday

  • Friday.


The post holder is an integral member of the Bromley Healthcare Community Paediatric team and is required to provide comprehensive support to the community paediatrician.


The post holder will provide a link between the team and other health service providers, external agencies, schools and parents.


The post holder will undertake a wide range of administrative and secretarial tasks including personal responsibility for a number of routine delegated tasks.

The post holder is expected to consistently deliver excellent customer services and promote effective multi-agency working.


The successful applicant will have administration and secretarial experience along with excellent IT skills, strong communication skills and the ability to multitask.

Bromley Healthcare is a community interest company providing a wide range of services including community nursing services such as district nursing, health visiting to specialist nurses, as well as therapy services for children, young people and adults.

Salary is dependant on NHS experience and current banding/pay point.


  • To support the Consultant Paediatrician in their responsibilities and clinical administration. Provide secretarial and admin support to the team as necessary.
  • To provide the full range of secretarial and general office administration to the Consultant including but not limited to.
  • Responsible for managing the appointments diary of the Consultant, arranging meetings as requested and ensuring he/she is aware of arrangements made in their absence
  • Audio typing of child protection medical reports and copy typing of medical reports and other correspondence to patients and other professionals. Use of Lexacom for clinic reports. Using knowledge of specialist medical terms.
  • Occasional taking and transcribing minutes of designated meetings and ensuring distribution of information to relevant staff
  • Liaise confidently and courteously and deal effectively and appropriately with all levels of staff throughout Bromley Healthcare and other relevant organisations, e.g. Voluntary sector, Social Services and Education
  • Deal sensitively and diplomatically with telephone enquiries from parents and other health agencies, using initiative and experience to select the appropriate course of action
  • Liaise with multiagency teams regarding any queries doctors may have
  • Process mail
  • Manage an effective followup system for test results and return of questionnaires etc.
  • Manage waiting list process and cancellation of clinics process due to ill health or another reason.
  • Data input onto the EMIS system, for example the referral process to Complex Communication Diagnostic Service.
  • Provide and receive complex, sensitive information to and from parents/patients and also within the multiagency teams if necessary and following Data Protection guidelines and parents/carers consent
  • Provide advice, instruction or training on an ad-hoc basis to new colleagues. Support localised induction for new staff, and support bank, agency workers joining the service
  • Plan staff rotas on Health Roster including annual leave and study leave as necessary.
  • Monitor stock required for the community paediatric clinics, notifying the Business coordinators when re-ordering is required.
  • Regular requirement to develop or create clinic reports and documents using EMIS system for parents and other involved professionals.
  • Disseminate any relevant information regarding patients, families, safeguarding and professional involvement that needs to be communicated between Consultants and other relevant professional staff as required supporting the holistic Community Paediatricwork.
  • Follow policies and procedures for own area of work; propose changes to policies and procedures in own area of work where necessary.
  • To cover for other medical secretaries as necessary during annual leave/sickness absence
  • To participate in mandatory training as appropriate.
