Job objectives and responsibilities
- Reporting directly to the Project Manager assisting with the administrative support to ensure all related documentation is issued. returned, checked, and updated in the relevant health and safety file, for handover at the end of the project.
Main duties
- Issue tender letters & quotations
- Print/issue of monthly reports
- Recording of jobs
- Raising purchase orders and uplifts, for PM review.
- Provide support to the operations team
- Obtain quotes from suppliers
- Maintain and update project filing to ensure compliance
- General filing of documents & printing/collating
- Collate & type reports & completion documentation
- Issuing health & safety documents and certificates to clients when required
- Log nonconformities when required
- Manage team diaries/absences & annual leave
- Fill out vendor approvals as and when required
- Upkeep of tender/project tracker
- Type equipment schedules/ work programmes
- Collate health and safety and site files
- Maintain necessary Databases
- Updating drawing register/Issue
- Log enquiries
- Review Maximo & collate information for the PM team
- Request Drawings
- Download Asbestos for each site when required.
- Set up Tender enquiries/new projects on server
- Managing fleet issues
- OMI collation and issue
- Collaborate with internal Mitie teams
- Managing asset compliance
- Manage change control
- Team mailbox management
