Position Overview
Essential Job Functions
- Good IT skills with previous data entry experience.
- Strong Communication skills.
- An eye for detail.
- A well organised person capable of prioritising essential tasks.
- An ability to work to business deadlines in a dynamic environment
- A background and knowledge in facilities management using CMMS/CAFM systems (preferred but not essential).
- Previous experiencing with reading and analysing work reports / job sheets is (preferred but not essential).
Duties
- Administrative duties for the Operations Team.
- Liaise with customers and contractors for maintenance planning.
- Review and update the CMMS system for all works.
- Upload all work reports to SharePoint including planned maintenance reports, callouts & remedial / project works.
- Maintain & update the site asset documentation.
- Raise changes for maintenance activities.
- Update departmental trackers, such as competency registers, insurance register, waste carriers trackers, etc.
- Update and maintain weekly ops tracker showing all planned works for the past and upcoming weeks
- Update the operational areas of SharePoint.
- Review and assist with tickets on our ticketing system SNOW
- Deal with general enquires
- Support other team members through collaborative training on company processes and procedures
- General administration and maintain company records
- Process Quotations and Raise Purchase Orders
- Raise Access & Delivery Requests
- Raise Access to Work Permits for all contractors attending site
- Carry out all assigned business training related to Facilities Administrator Job Role Title
Job Requirements
- Proven experience of working in a facilities department and/ or dealing with customers / contractors, (preferred).
- Ability to communicate well in both oral and written reports and also presentation skills
- Proficiency in Microsoft Office, Outlook, Word, Excel, company ticketing systems and CMMS Systems.
- Travel is expected to be less than 5%, occasionally for training purposes
- Potential employees must complete a background check successfully
