We are looking for a
Project Coordinator who is
Curious, Driven and
Collaborative to join us in our
Rare Diseases Organisation team, based in our
Slough office in the
UK.


About the role


You will be a key point of contact for the Internal Rare Diseases Organisation team, proactively driving initiation to close key activities within the business unit.

These activities include organisational, administrative and audit/compliance, data privacy, contracts, and event management. The Project Coordinator will proactively manage the budget planning inclusive of Purchase Orders and Invoice Management.


Who you'll work with
You will report into the Head of Rare Diseases for the UK. You will be assisting several internal stakeholders including Field Sales, Medical and other cross functional teams


What you'll do

  • Independently manage projects and support the team in project coordination, partnering with key internal stakeholders to provide value and solutions
  • Administrative tasks (material and contract management, controlling, initiation & coordination of approval processes)
  • Create and maintain digital exchange platforms for crossfunctional stakeholders such as team pages, share points, etc.
  • Support the teams in the execution of projects by creating suppliers, Purchase Orders (Guided Buying), invoice processing and SOP/audit compliant storage of all relevant data
  • Agency / supplier management: Act as the contact person for suppliers during projects to support from an organisational perspective. Obtaining offers / RFP support, close cooperation with procurement
  • Materials management: Initiate and coordinate approval processes with Source Clear, production (nondigital materials) with suppliers, if necessary, distribution and storage
  • Field force support: maintaining and updating material lists, ensuring that the team receives the correct materials (organisation of home delivery)
  • Partner with data privacy team and facilitate interactions with cross functional teams to ensure all relevant data privacy rules are known and data is stored and exchanged in the appropriate way
  • Maintaining an overview of all budget files, keeping these up to date with are up to date
  • Arrange digital and Facetoface team meetings, meeting minutes, etc. This also includes organization of reviews, audits, etc.
  • Coordinating and supporting onboarding: create onboardingplans, organize trainings, teamequipment with hardware, materials, infrastructure such as office space, home office materials, etc.
  • Support the Head of Rare Diseases, with calendar organization, travel planning and invoice handling
  • Build & maintain strong network with project coordinators at EU level as well as across the local affiliate

education, experience
and
skills

  • Experience within a Project coordination position/ management in a cross functional setting
  • Prior experience within the Life Sciences sector
  • Pharmaceutical company, Biotechnology or relevant organisation
  • Strong communication skills both written and verbal in Englkish
  • Experience in budget handling and audit support
  • Digital literacy
  • Project management qualification desirable
  • Ability to problem solve, work independently and work within a complex matrix environment
