Role Overview


The Sales Support Administrator will be responsible for supporting the Internal Sales Team with a set of key customers, managing internal and external contacts to provide quotations, load and progress orders and ensure that customers are always fully updated.


Reporting to the Internal Sales Supervisor, the Sales Support Administrator will take responsibility for ensuring that all administrative tasks are kept up to date and all records within the Sales Team are accurate and easily accessible.


This role is of key importance to IMI Truflo Marine and requires a customer centric, sales driven individual who has significant experience of working within a sales/customer service environment within a manufacturing environment.


The Sales Support Administrator will be an ambassador and role model for IMI Truflo Marine and will act with integrity and in accordance with company policies at all times.


Key Responsibilities

  • Drive all sales bookings through the Q2O tracker.
  • Provide daily updates from companywide departments.
  • Produce monthly KPIs to monitor departmental adherence.
  • Continuously improve the process, adapting to business requirements.
  • Prioritise loading of RFQs and customer orders onto EFACs.
  • Support Sales Team with pricing and processing of RFQs.
  • Process Order acknowledgements for the Sales department.
  • Manage customer expectations through all applicable stages of the sales cycle.
  • Maintain accurate records of all quotations and orders.
  • Maintain accurate records and provide updates for Sales Engineering tickets.
  • Submit QASOR/SOQRs to helpdesk for approval.
  • Maintain accurate records of all customer communications.
  • Update internal databases with account information.
  • Resolve customer queries in a timely manner.
  • Ensure response to the customer is accurate and timely.
  • Assist in customer escalations as per escalation policy.
  • Communicate customer feedback to Account Coordinators/Managers
  • Updates and distribution of daily booking figures
  • Manage and distribute all Inbound Sales Enquiries/Sales Inbox. Process enquiries where applicable.
  • Maintain accurate records within Commshare.
  • Maintain accurate records within File Director.
  • General office responsibilities including but not limited to Scanning, Filing, Lunch requests etc.
  • Attendance at all applicable meetings
  • Participate in crossfunctional teams to aid with problem solving and internal development.
  • Participate in companywide projects.
  • To carry out any other duties appropriate to this post, as necessary or as required.
