Governance Officer, London University, 3 month minimum temporary assignment, £21.50 p/h plus holiday pay.


Our client, a leading London University, is recruiting an enthusiastic and committed
Governance Officer to deliver secretariat support to the Board of Governors and committees.

The organisation works a hybrid pattern currently.

The main duties of the Governance Officer role are:

  • Planning of committee work, drawing up agendas, reviewing & editing reports for meetings & drafting minutes
  • Develop and manage a comprehensive range of processes and policies to support and deliver secretariat support services, making best use of IT where appropriate
  • Working closely with other University staff responsible for key internal committees (e.g. Academic Board) to ensure effective business planning and coordination
  • Support the University Secretary in the development and implementation of policies and procedures designed to promote and support good governance in the University
  • Producing and keep updated the committee's annual cycle of business
  • Liaising with staff preparing reports for meetings, check and edit reports to a high professional standard
  • Draft minutes for approval by the Board and subcommittees using a clear concise style
  • Upload agendas and papers to the University's Board portal for distribution to the committee
  • Maintain committee action logs, communicating actions to relevant University staff, tracking implementation and issuing reminders and updates
  • Update committee constitutions, memberships, structure charts & other governance documents
  • Maintaining the University's governance webpages & governance documents, policies, guidance and procedures
  • Ensuring that the University's Corporate Governance webpages conform to legislative and accessibility requirements, are easy to navigate and that content is up to date
  • Maintain a schedule of Board and committee membership (including coopted committee members), and supporting the University Secretary in identifying when terms of office come to an end
  • Assist with administrative requirements associated with the appointment and resignation of Governors, including statutory registers / filings and to monitor terms of office
  • Provide training and guidance to Board members in the use of university systems and procedures, in particular with ICT accounts, I.D cards and expenses
  • Assist with arranging, developing and maintaining programmes of induction, recruitment and training for Governors and to monitor and record governor participation and engagement with training delivered
  • Support the University Secretary with Staff and Academic Elections
  • Maintain the Register of Interests & Fit & Proper Persons declarations for Members of the Board of Governors
  • Conduct a range of annual surveys with members of the Board; following up returns; analysing data and providing summaries to feed into formal reports
  • Undertake various administrative duties e.g. arranging ad hoc meetings
Skills and experience required

  • Have a strong track record in a governance role
  • Quickly develop an understanding of the regulatory framework for higher education in the UK and an excellent knowledge of the governance framework of the University and University policies and procedures
  • Ensure corporate governance processes are compliant, with university requirements & statutory regulatory frameworks
  • As this is a position of high trust where the postholder may be required to work with a broad spectrum of highly sensitive information, including personal data and commercially sensitive matters. Discretion, tact, and sensitivity are essential
