Property Maintenance Supervisor

Purpose

Company:

Team:

Responsible for the day to day maintenance and upkeep of all company buildings ensuring they are appropriately maintained to a high standard and ensuring high levels of customer satisfaction, health and safety and audit compliance.

To ensure that our clients and visitors receive a friendly and professional service leading them to become long term clients and regular conferencing customers.


Role:

Reporting to the Business Centre Manager, you will maintain company buildings to ensure full compliance with H&S and Fire regulations guidelines.


You will identify, resolve/repair any faults or damage that may occur in a timely manner or liaise with the Business Centre Manager to instruct an appropriate tradesperson.

Supporting the Business Centre Team with timely office or furniture moves and meeting room set-ups.

Main Responsibilities including but not limited to:

  • To carry out daily checks of the plant room and plumbing and conduct detailed scans of all company buildings, inside and out, diagnosing and rectifying or escalating issues in a timely manner, sourcing materials as required and where approved.
  • Collect daily action lists from Reception every morning and work through in a timely manner and to a high standard, handing back an updated list at the end of each day and updating the relevant individuals on the status of their activities, providing timescales of when outstanding tasks will be completed to manage clients/staff expectations effectively.
  • To work with Reception and Business Centre staff to ensure clients and staff are satisfied with their working environment.
  • Conduct weekly checks of the fire alarm and exits of each building and perform regular checks of emergency lighting, performing fire drills at least once per year at each site.
  • Escort and advise subcontractors or building contractors when on site and oversee their activities during/after to ensure they are completed to a high standard, reporting any issues to the Business Centre team immediately.
  • To provide feedback on existing contractors work/maintenance so that the Business Centre team can manage the relevant agreements appropriately.
  • Working with the Business Centre Manager and H&S Officer, on all health and safety matters, being responsible for ensuring all recommended/required remedial action arising from Fire Risk Assessments and other H&S audits are completed in a timely manner and to a high standard.
  • To clean, restore, maintain Company buildings and surrounding areas in accordance with Health and


Safety and Fire Regulations guidelines and as directed, including but not limited to: painting, spot cleaning carpets, hanging notice boards, gritting external pathways and car parks during cold spells, repointing brickwork, general repairs and carpentry, clearing litter from company sites, changing lightbulbs, tap washers and batteries, furniture storage and arranging tables/equipment as required in meeting rooms and offices.


  • To carry out office moves and meeting room setups as required by the BC team, moving furniture and transporting/collecting furniture to/from storage, using the company electric vehicle or hire van, as appropriate and as required.
  • Maintain company grounds to a high standard through general maintenance eg, weeding, painting railings, repointing stair grouting, salt spreading etc keeping the grounds clear and tidy including daily litter picking, as required.
  • Any material/tools required to carry out daily/project tasks must first be approved by the BC Manager before being ordered by a member of the BC team.

Ad Hoc Duties

  • Attend Company meetings and training as identified and requested by the Company.
  • Attend site out of hours for emergency callouts, as required.
  • Any reasonable job related activity, as required.

Limits of Authority
May not, without specific sanction from an Executive Director:

  • Retrieve or pass on any confidential information to third parties.
  • Incur any expenditure over £100. Expenditure up to £100 can be approved by the BC Manager.
  • No decisions to be made outside of day to day, as defined by role.
  • Expose the Group of Companies to financial or legal litigation or any other liabilities.

Required Qualifications/skills/experience:


  • Relevant qualifications eg, plumbing or marine/mechanical engineering, preferred.
  • A good understanding of Health & Safety requirements and risk assessments.
  • Experience of carrying out basic plumbing eg, unblocking drains/gutters, fixing leaks and changing taps.
  • Able to carry out basic carpentry and joinery duties eg, replacing locks, handles and repairing furnitur
