Due to ever increasing works throughout Surrey area. We now look for the Turnkey Compliance Administrator for Kingston.


Overall purpose of the job:


To support the contract with managing the Company's vehicle, plant servicing/logistics as well as monitoring and assessing/reporting on contract site compliance.

This role will involve accurate record keeping and maintenance of all Company database and third party databases. General support functions to the transport, plant & compliance team.


Key Responsibilities:


  • All aspects in relation to maintaining company and third party databases. Accurate data entry and following company procedure for all for all new owned vehicles added to the SQS fleet and for on and off hiring of owned and third party hired vehicles.
  • Updating all databases when vehicles change, depots, contracts and or drivers.
  • Assessing teams daily site compliance, running daily & weekly reports as well as generating league tables to help drive performance across the contract.
  • Ensure that vehicle and plant databases are maintained in full. Operator Licensed vehicle (HGV) databases and files must contain PMI's, Evidence of defect rectifications, service history, Maintenance contract (where applicable) and any other paperwork that relates to the safe upkeep, identity, maintenance, and roadworthiness of the vehicle. Upload all maintenance records to company database.
  • Raise purchase orders for vehicle and plant hire, maintenance and parts costs. Reconcile invoices against purchase orders and sign off for payments for purchasing. Raise recharges to contracts as advised.
  • Assist in maintaining drivers' records, to include driving licence database, training matrix and accident database.
  • Ensure good communication / feedback is always maintained when dealing with Customers, Suppliers and other SQS employees_. _
  • Creating and maintaining league tables on a weekly basis
  • Ordering and maintaining stock levels for operational teams
  • Teamwork is essential to ensure continuous improvement in quality of work and in building trusting relationships with other work colleagues
  • General support to the fleet and plant management team.
  • Ensure good housekeeping in office areas.

Safety

  • Health and Safety is paramount to all parts of the working area therefore depot rules and procedures are to be adhered to in full at all times; copies to be displayed on notice boards at all times.
  • Specified PPE must be worn at all times throughout the depot, workshop and on site.
  • It is your duty of care to lead by good example in working safely, quality of work, attitude towards work and management and the wearing of PPE for which high standards are expected at all times.
  • Ensure that all personnel, or visitors planning on carrying out work have been inducted.
  • Ensure that all accidents and near misses are reported in accordance with company procedures.

Environmental

  • Ensure that waste management procedures are adhered to, i.e. Waste metals, waste paints, timber & general waste are disposed off in their proper waste containers or skips.
  • Ensure that environmental consents are adhered to, ensuring no oils, gases, paints or chemicals enter watercourses, sewers or drains.

Other Duties

  • Line manager & HR Department must be informed of all absenteeism in a timely manner i.e. prior to commencement of working day. Text messaging is not an acceptable means of contact. Proof of appointments for hospital, doctor, dentist etc. must be presented to line manager before time off for such appointments are approved or granted.
  • All annual leave to be booked, strictly in accordance with company policy. Holidays should not be booked or deemed as granted until signed off by your line manager.
