Main Purpose of the Job
To build and maintain relationships with our customer base, ensuring a smooth onboarding process and ongoing account management support.


The Account Manager will provide account management and administrative support to meet the needs of the customer, clinical and technical teams.


To ensure that the company meets the recognised standards for the services provided and maintains professional quality accreditation in line with business requirements.

Main Duties and Responsibilities:


Admin Support

  • Overseeing the chasing and monitoring requests for GP reports, biological monitoring, drugs and alcohol results, ill-health retirements and peak flow chase, or following up on information requested.
  • Ensure all day-to-day operations within the business are undertaken appropriately, accurately and in a timely manner.
  • Arranging, checking, and confirming bookings with customers and ensuring that appointment sheets are available to the clinical staff and they are meeting their targets.
  • Answering telephone enquiries and ensuring the correct response by the appropriate person or passing on messages.
  • Arranging for all notes, and forms required by an Occupational Health Advisor are available electronically at least 3 working days prior to the time due on site or that suitable arrangements are in place for the Occupational Health Advisor to access the resources prior to the appointment.
  • Maintaining recall / monitoring system for customers/clients, ensuring that customers / Occupational Health Advisors are aware of work due or overdue and action taken where required.
  • Checking that reports are sent to customers following all clinical activities and that all clinical records are stored appropriately on the server.
  • Monitoring and updating internal systems with management and operational information.
  • Checking timesheets against calendars and stored documents
  • Inputting numerical data into clinical programme.
  • Processing incoming and outgoing post, scanning, and saving records to the server.
  • Monitoring resources and maintaining minimum stock levels.
  • Ensuring the accurate scanning and storing of medical records in accordance with the medico-legal guidance and company policy, including sorting new customer transfers and leavers files.
  • Reviewing and assessing the effectiveness of changes within the business and working with Operations and Finance Manager and Directors to support the change process.
  • Ensuring occupational health, health surveillance, screening and occupational hygiene services are scheduled as per identified recalls.
  • Ensuring all independent contractor checks are up to date on every date of service delivery.
  • Ensuring Occupancy levels are maximised and co-ordinating with Operations Manager where predicted shortfalls are identified.
  • Ensuring all diary bookings are accurate, appropriate and have necessary rooms, resources, and equipment available.
  • Any other duties to help the needs of the business.

Essentials


Must be competent in using Microsoft outlook, word, excel; have good communication and time management; accuracy and attention to detail.

Salary:
£21,000.00-£23,000.00 per year
