The Role


Pinnacle Group are looking for a Facilities Officer/Site Manager to oversee the day to say running of caretaking and maintenance of a secondary school in Clacton on Sea.

The role would suit someone with some experience within facilities management, someline experience and good administrative skills.


The key objective of the Site Manager role is to manage and be responsible for the activities carried out by the Caretaking team & Sub Contractors.

Ensuring that the internal and external school facilities are available, fully functional, Health & Safetycompliant and aesthetically pleasing where this falls within the remit of the Caretaking and cleaning team.


Duties/Key Responsibilities

  • Direct line management of Caretaking team with assistance from the FM team.
  • Oversee all site team activities and ensure that the site team Job Description is fulfilled.
  • Program, arrange and delegate PPM duties within the remit of the caretaking team. Monitor satisfactory completion and report back.
  • Ensure that regular daily duties are undertaken by the site team and monitor performance.
  • Ensure that reactive requests are carried out by the site team within SLA's and to a good standard.
  • Program, coordinate and oversee backlog maintenance programme where within capabilities of the team.
  • Ensure callout procedures are in place and compiled with.
  • Oversee H&S compliance of activities undertaken by the site team.
  • Managing new works including getting quotes from contractors, arranging access and overseeing and signing off works.
  • Ensure Site team wear correct uniform, ID badges and PPE.
  • Monitor Cleaning & Ground Sub-Contractors whilst on site.
  • Assist local supervisors with management and monitoring of standards and staff. Assist alongside the FM team with continual improvements.
  • Oversee H&S compliance.
  • Help coordinate work programs and deep cleans.
  • Liaise with FM regarding planned works for on site teams and external service providers to ensure uninterrupted smooth running of facilities and avoid resource wastage.
  • Liaise with School personnel.
  • Liaise with FM to look for continual improvements and savings to the services provided.
  • Arrange for external service providers to be signed in, escorted and supervised by the site team.
  • Monitor and document timekeeping, sick leave, performance and other absences.
  • Approve and coordinate annual leave to ensure sufficient resources available to fulfill contractual requirements, revise shift patterns accordingly to ensure adequate cover at all times.
  • Keep records in line with agreed procedures for logging completed PPM and reactive requests.
  • Monitor and stock equipment levels and advise FM when more required, working within budget.
  • Record incidents, accidents and near misses via Pinnacles internal H&S app.
  • Contractor monitoring, including sign off works completed by contractors.
  • Report damage to the school efficiently using photographic evidence and recharge costs to the school where necessary.
  • Monitor site team levels of customer care.
  • Deal with complaints regarding individual's performance or the standard of completed jobs in line with HR policies.
