Contract to start on until with a possible extension.


An experienced EA - must be used to working in fast paced and busy environments - must be proficient in IT skills, and know how to use SharePoint, MS Teams and the apps in it etc.

JOB PURPOSE:


To provide an efficient, high quality and proactive support service to the Housing and Social Investment DMT/Directorate in their leadership roles (DMT and Reports).

Provide complete Executive Support, personal, administrative and secretarial services to members of the Housing and Social Investment leadership team.

Own the process and procedures of executive support, including development of administrative, data collection and associated management information systems.

Support projects and initiatives across the Directorate.


Responsibilities
Co-ordinate approvals and correspondence on behalf of Exec Director and DMT Reports

Collate information and prepare briefings and presentations, gathering, analysing and presenting as appropriate.


Provide office management, managing diaries, organising meetings, responding to direct enquiries, screening correspondence, putting in place logístical arrangements and redirecting enquiries as appropriate.

Ensure administrative arrangements in place for all meetings including scheduling, setting agendas, taking minutes and managing follow up actions.

Deliver a professional, confidential and customer focussed service to all, including responding to highly sensitive matters.


Coordinate Departmental approach on strategic priorities including business continuity and the Client's Forward Plan, being an administrative point of contact for the service.


Work with the Customer Experience team to ensure all complaints and Member queries addressed to Directors are logged, investigated, and responded to within agreed timescales.

Ensure adequate security arrangements maintained for confidential and sensitive information.


Manage, coordinate and organise the end to end recruitment process of members of staff as instructed and support new starters.

To deal sensitively with all correspondence to directors using judgment to ensure appropriate handling.


Salary:
£20.02 per hour
