Statement of expectation for the role:
The City of London Police is currently looking for an Administration Assistant to join the Commissioners Staff Office to support the Chief Officer Team.
This is a new post dedicated to providing a comprehensive high quality executive support service (both administrative and secretarial) to the Chief Officer Team to enable them to perform their duties and deliver on local, regional and national policing priorities efficiently and effectively.
There is a need to be flexible to support the wider office team in supporting the Chief Officers, and the team will also be supporting the post holder in their tasks and events as necessary.
Description of Department:
The Strategy, Planning and Service Improvement team aims to be a strategic hub that leads and coordinates the City of London Police's approach to strategy development, planning and risk management, tracking and evaluating performance, and strategic stakeholder relations.
Through data and insights, the strategic hub will enable the police service to adapt to an ever-changing environment and plan for the future.
It will work with internal and external stakeholders to ensure there is a clear long-term strategic vision underpinned by plans to develop capabilities and improve service delivery.
Responsibilities (further details within job description):
- To assist with the coordination and planning of meetings, circulate meeting papers, taking minutes and tracking actions.
- To manage the correspondence register
- To provide resilience to the Chief Officer Team Executive Assistants in managing and organising diaries.
- To manage and maintain confidential filing systems and general administration.
- To process expense claims, reconcile credit card purchases, and raise purchase orders / agree payment of invoices.
- Manage and coordinate Chief Officer Team 'on call rota'
- Manage the gift and hospitality register.
- To provide support generally to Chief Officer Team Staff Office in terms of daytoday work and overall objectives and undertake any other duties that may reasonably be requested appropriate to the grade.
Essential criteria:
- Excellent planning and organising skills.
- Excellent communication skills, including correspondence and report writing skills.
- Proven ability to engage with stakeholders.
- Ability to remain calm under pressure.
- Ability to work on own initiative and with mínimal supervision.
- Flexibility and good team working skills including office cover when required.
- Good resilience
- MS office skills
- Be willing to be vetted to SC level.
Desirable criteria:
- Knowledge of the City of London Corporation would be an advantage.
