Project Officer


This role will support all aspects of the day-to-day management and administration of the Institute's externally funded strategic projects, working with colleagues across the UII team to ensure effective and timely development and delivery.


  • The role holder will support the Institute in all areas of its research activity, providing support in areas such as research and development activity, financial management, KPI monitoring, reporting and procurement.
  • They will have responsibility for coordinating the organisation of research meetings and events with consortium partners, and a wide range of stakeholders.
  • This post is fulltime (35 hours per week), and fixed term until 31st March 2025.

£29,762 - £34,314 per annum (Grade 5)-

Main Duties

  • Support the Institute's Senior Management Team to enable the successful planning, execution, monitoring and control of major research grants aligned to the UII.
  • Provide professional advice and guidance on processes and procedures to internal and external customers, using judgement and creativity to suggest the most appropriate course of action where appropriate, and ensuring complex and conceptual issues are understood.
  • Collaborate with others to make recommendations and decisions about the administration of systems, processes and procedures, developing links within and beyond the UII.
  • Support the planning, monitoring and forecasting of project progress, suggesting ideas for corrective action, as appropriate and proactively change delivery according to customer requirements.
  • Support the ongoing review of the UII's Risk Register and management of solutions.
  • Manage any required procurement exercises led by the Co-Directors and Institute Manager, in consultation with relevant delivery, procurement and legal teams.
  • Develop working relationships with key contacts, developing appropriate communication links with the University's Schools/Directorates and outside bodies as required.
  • Work with the Institute Manager to monitor progress across multiple research projects, producing financial and activity progress reports as required.
  • Gather and analyse data to inform management decisions, establishing trends and patterns in data and creating reports as appropriate.
  • Liaise with the relevant Professional Services departments to ensure the projects comply with university policies and procedures.
  • Ensure documentation is managed, filed and stored in line with university protocol.
  • Undergo personal and professional development that is appropriate to the role and which will enhance performance.

General Duties

Person Specification

Essential Criteria

Qualifications and Education

  • Degree/NVQ 6 or equivalent workrelated experience.

Knowledge, Skills and Experience

  • Evidence of the ability to organise, prioritise and plan time and resources, including personal time management and working to deadlines within budgets.
  • Evidence of ability to solve problems using initiative and creativity, and ability to identify, develop and select options independently.
  • An understanding of project management tools and techniques, alongside experience of managing and delivering projects to agreed timescales and budgets.

Customer Service, Communication and Team Working

  • Evidence of the ability to understand and convey information which requires careful explanation, both written and oral.
  • Experience of engaging with a broad range of stakeholders to support work packages and the delivery of project activities.
  • Proven ability to work as part of a dynamic and committed team.

Planning, Analysis and Problem solving

  • Experience of providing management information, briefings, updates and reports.
  • A willingness to undertake further training and development.
