To support and assist the Scheduling Team and the administrative duties required to maintain and efficient service. To provide support and assistance to the Endoscopy Reception Team, Unit staff, Endoscopists, Nurse Practitioners, and the Management Team.


Job responsibilities KEY TASKS:
Communication and Team Working 1.


Regular daily communication with patients and relatives, both in person and by telephone, to include advising patients in all aspects of preparation for, and administration of examinations.

To include Gastroscopy, Flexible Sigmoidoscopy, Colonoscopy and ERCP. 2.

Liaise closely with all levels of departmental staff regarding all aspects of administration of the patient attendance, via the use of paper and/or computed information.


  • Assistance as necessary, as agreed with the endoscopy performance manager, to the endoscopy reception team. 4. Liaise with other clinicians, departments, areas, and Trusts.
Propose improvements and identify problems. 7. Promptly report to office manager any problems which the post holder cannot immediately rectify. Planning and Organising 1.

To work independently to defined policies and procedures and manage own workload. 2. Is aware of departmental workload and assists as necessary. 3.


Work as part of a team with the possibility of rotational weekend and evening work included as part of the usual working hours.

This would require independent working. Policy and Service Development 1. Assimilate, and work to, stringent departmental guidelines.


  • Work in conjunction with the Performance Manager to implement new working systems in a bid to improve efficiency and use of resources. 3. Attend administration team meetings, and admin liaison meetings.
Administration 1. Produce and send out appointment letters to patients. 2. Operate computer terminals for imputing and accessing information as necessary, including the hospital PAS system, Evolve and EMS.


  • Register patients as necessary. 4. Record all relevant data/details to enable the examination to proceed.
  • Produce any documentation required for examination to proceed. 6. Sort incoming mail.
  • Record all requests received onto PAS waiting list. 8. Maintain excel patient spreadsheets.
  • Update and maintain the National Somerset database with changes to 2WW patient pathways, such as cancellations and date of procedure. Knowledge 1. Where able, advise and reassure patients attending for endoscopy examinations, escalating where further advice required.
  • Demonstrate a clear understanding of the data flows within departmental computer (EMS and E-Care) and paper-based systems in order to enter and retrieve information, and make corrections as necessary. 3. Able to interrogate the various Endoscopy IT and Hospital IT systems and interpret appointment status, view patient reports.
Clinical and Professional 1. Behave courteously and professionally at all times. 2. Attend suitable seminars and courses as part of personal development and to further the service provision of the department.
