Programme Management Administrator
Full Time (Term Time Only)
Main Purpose of Job
To assist in the day-to-day running of the Programme Management office by providing an effective and efficient Administrative Service.
Support for Students
- To log and update medical records on college systems.
- To provide Mask Exemption and lift passes based on student medical needs and log appropriately.
- To log, arrange and advertise Student Representative meetings to ensure student voices are heard.
- To deal with student enquiries and request for information and assistance.
- To undertake activities as deemed necessary by the Head of Programme Management which may require a rapid reaction due to the fast moving environment of the office.
Support of Staff
- To assist in the administration of trips ensuring paperwork is complete and signed appropriately by relevant members of staff by expected deadlines.
- To arrange and assist with student awards including Student of the Month and Student of the Year.
- Keeping CMT/SMT reports up to date including Widening Participation activities.
- To ensure External Visitor paperwork is complete and logged on college systems.
- To assist with cross college activities and events.
- Team working and anticipating the needs of the team.
- Processing of purchase requisitions, annual orders petty cash and travel claims.
Personal Development
- To undertake staff development and attend staff meetings as required and requested.
- To undertake continuous professional development.
- To undertake such crosscollege responsibilities as may from time to time be ascribed to the post.
- To actively participate in college enrolment, recruitment, and other relevant activities.
Additional Duties
- To respond flexibly to the varied requirements of a fastchanging environment.
- To have a willingness to participate in Enrichment activities.
- To perform a range of general administrative duties as required.
- To undertake such crosscollege responsibilities as may from time to time be ascribed to the post.
- To actively participate in college enrolment, recruitment and activities.
- To promote and safeguard the welfare of young people and vulnerable adults at the college
- To accept flexible redeployment and reallocation of duties commensurate with the level of the post.
- Planning for upcoming events and dealing with unplanned situations efficiently.

Person Specification
Qualifications
- Relevant qualification to minimum of Level 3 (A Level or equivalent).
- Level 2 qualification in Literacy and Numeracy.
- Evidence of Continuing Professional Development.
Knowledge/Experience
- Experience of effective team working and promoting effective relationships between staff, students and the community.
- Experience of working within an administrative team.
- Experience of working in a College Environment would be an advantage.
- Experience of providing support to students/staff.
- To be a competent use of the full range of Microsoft Office Applications.
- Knowledge of safeguarding issues.
- Knowledge of equality and diversity issues.
Skills/Attributes
- Display initiative, be positive and friendly
- Excellent communication skills and able to communicate with a wide range of different people.
- Ability to accurately identify customer needs and respond appropriately
- Ability to use initiative when responding to student and staff requests for information and support.

Additional Requirements
- Willingness to work flexible hours
- Participation may be required outside normal working hours including evenings and weekends
Post Information
- Reports to the Head of Programme Management, Kingsway
- This post is for 37 hours per week, termtime only.
- Salary £22,587 £23,223 pro rata per annum
- The post holder will undertake all duties and responsibilities in compliance with regulatory, legislative and college procedural requirements.
