Description
Our client is looking for a Front of House (Part-time) on a Temp to Perm contract basis, located in Aberdeen.
ROLE
- To provide a full reception service for visitor, event hosts and participants, callers, Hub users, tenants and staff.
- Support for the organization and running of the regular events and specifically coffee mornings and early evening meetups and community events.
RESPONSIBILITIES
- Support the enquiry and booking process for event and meetings spaces.
- Liaise with the event/meeting organiser, regarding catering, room layouts, AV equipment and all other requirements to ensure the efficient delivery of workshops/ meetings etc.
- Ensure all the relevant documents are in place for event booking.
- Create purchase orders and liaise with the commercial and finance team, updating corporate systems as required.
- Open and close Reception as required.
- Open and close visitor access as required.
- Provide on the day support for events and meetings, including standard support on AV equipment use, support with catering, meeting and greeting etc.
- Show potential clients around the OTH and its event/meeting spaces.
- Ensure that the digital meeting room booking system and Ecosystem event log are kept up to date, ensuring that all Ecosystem event bookings have 'approval' and are logged centrally with a justification.
Internal
- Support the Director Digital Tech (and Digital Tech Team) with the successful delivery of Digital Tech (inhouse) events, where appropriate.
- Monitor tenants 'fair use' of meeting rooms and advise the Director Digital Tech of any problems.
- Ensure that tenants are charged for meeting and event spaces as appropriate.
- Organise access for building users OORs (Saturdays and Sundays) as and when required security etc.
- Participate in review meetings for overall evaluation of the event or programme as and when required.
- Supporting the everyday reception duties.
REQUIREMENTS
- Experience of working in a busy front of house role.
- Attention to detail and problem solving.
- Excellent written and verbal communication skills.
- Ability to be flexible in working hours.
- Proficiency in MS Office, Word and Excel
