To provide a high standard of administrative support to the speech and language therapy service To be responsible for the day to day progress of a scanning project and liaising with external companies to support this To make room bookings and provide admin support for training and other meetings To support in the scanning and filing of paperwork from paper to electronic staff personnel files To act as first point of contact via telephone and face to face for the Speech & Language Therapy Service, with exposure to distressing circumstances or distressed clients eg dealing with family situations, clients with speech and language difficulties and with clients who have English as a second language.

To receive incoming telephone calls to the department and take messages for the team, undertake actions where appropriate, including making calls to outside agencies.

This will require analysis of queries/issues, using sound judgement to solve any problems and escalating as appropriate. To sort and distribute incoming post and organise and send outgoing post.


Accurately record all interactions regarding the patient on the appropriate SystmOne record (electronic patient record), updating and amending information in a timely manner and within standard operating procedures.

To undertake typing of correspondence using copy and/or audio dictation, using relevant IT systems to a high and accurate standard.

This will include clinic letters, referral letters, reports etc.

To contact families in order to arrange appointments at various sites across the city, and undertake all administrative duties to ensure the appointments are made and appropriately communicated with families and schools as appropriate.

To contribute to the photocopying and scanning of documents as appropriate. To organise interpreters for Speech & Language Therapists as required. To acknowledge outpatient referrals, update waiting list and send out appointment letters.

To be able to cover office duties during a weekly evening clinic for mainly adult dysfluent clients (on a rota with other members of the admin team).

To be part of the lock up rota for Flockton House. To take minutes of meetings as and when required.

As part of the admin team, to provide Reception cover as and when necessary, and to pick up any appropriate administrative tasks required of the team.

To help collate information from SystmOne as appropriate.


To accurately enter and maintain information on Systmone and any other relevant databases or similar To participate in monthly Admin Team Meetings to share ideas, processes and improvements.

To organise and mange own workload, working unsupervised, using own initiative and dealing with matters independently. To liaise with other Departments within Sheffield Childrens NHS Foundation Trust and external contractors as appropriate. To undertake any training relevant to the post.

To familiarise themselves with and follow office standard operating procedures and processes in place. To observe the Trusts Equal Opportunities Policy in their behaviour to the public and fellow employees.

To observe the Trusts policies relating to Risk Management, in particular staff should:
Be aware of the principles of risk management. Adopt appropriate practice to reduce risk to themselves and others.
