Job Title:
Data Administrator/Receptionist Reporting to : Practice Manager
Main purpose of the job:
- To facilitate data entry and administration
- To provide an effective and efficient first point of contact for all patients and to support the other members of the administrative and clinical teams.
Task and Responsibilities:
Customer Service
To attend to patients both at the hatch and on the telephone promptly and courteously
To answer patients queries and book appointments as necessary on the clinical system
To register new patients and temporary residents as required
To answer the telephone in respect of making patient appointments and other ad-hoc calls
To manage E-Consult requests
To give blood test results and other patient results
Sorting/stocking up leaflets in the waiting area as required
Organising publicity campaigns as necessary in the waiting area
Administrative Duties
Clinical Workflow - data entry via Docman
Clinical searches
Follow up of diary entries
Deal with/follow up tasks
Booking ambulances as required
Opening, distributing & sorting daily post
Scanning incoming clinical mail into the patient records
General photocopying and scanning
Resolving problems within reception area
Ensuring safe handling/labelling of specimens prior to collection by couriers
Preparing clinical waste for collection
Check/action office diary
Switch on/off radio, patient call system and arrivals system
Check and deal with computer patient notes and diary notes
Complete/print online blood test/pathology requests
Franking/taking mail
Ensure stocks of office forms are up to date i.e. new patient packs etc
Other administrative duties, as required
Other tasks
Ensuring kitchen area is maintained in a clean manner
Ensure patient waiting area is kept tidy
All functions relating to security/ opening / closing the building including:
Checking all windows and blinds
Computers and electrical equipment switched off
Lights are switched off
Ensure alarm is on
Any other duties as required to support the smooth running of the Practice

Key Competencies / Skills:
- Have positive attitude to work, patients and colleagues
- Have a polite and friendly manner
- Good communication skills
- Confidence with IT and new computer systems experience with Emis Web would be an advantage
- Takes pride in their work
- Organised and ability to prioritise tasks
- Willingness to be flexible and adaptable and able to do additional cover, as required
- Ability and confidence to work as part of a team or on own under own initiative
- Able to maintain strict confidentiality at all times
- Experience in working in General Practice would be an advantage
- Experience of Docman would be an advantage
