As the Projects Co-ordinator, you will be responsible for co-ordinating and monitoring multi-level complex work streams throughout the Estates and Capital service areas.
Reporting directly to the Associate Director of Capital and Property, you will be a key point of contact for internal teams, external partners, and stakeholders.
Excellent communication skills are essential as you will be liaising with a wide range of individuals on a regular basis, ensuring the provision of information and scheme updates.
Responsibilities:
- Coordinate and monitor the expenditure of capital projects, totalling approximately £50 million.
- Provide regular reports to the Associate Director of Capital Projects, including financial performance of individual projects.
- Serve as the main point of contact for processing orders throughout the procurement and finance processes.
- Record all expenditure and manage capital expenditure activities, including certification.
- Ensure compliance with procurement processes and implementation of new contracts.
- Oversee external contractors, tracking expenditure, resolving payment queries, and ensuring timely payments.
- Undertake complex information analysis and generate detailed reports.
- Monitor and evaluate risks and issues, proactively resolving and escalating as necessary.
- Contribute to performance management, focusing on project finances.
- Coordinate and participate in relevant meetings, providing information, advice, and support.
- Manage the Capital Projects Performance Reports (PPR) and provide key information on financial performance to Project Managers.
- Collaborate with project team members to ensure workflow remains on schedule.
- Generate the monthly PIEC Capital Report for the Director of Capital & Technical.
- Liaise with the Trust Finance Team to align project performance figures.
- Handle all Capital Projects related enquiries, both financial and administrative.
- Maintain proper documentation and filing for individual projects.
- Utilize and enhance complex cost tracker spreadsheets.
- Analyze data and advise on solutions to payment issues.
- Liaise with the Procurement Teams to overcome any Purchase Order release issues.
- Prepare financial reports.
- Organize work schedule and adapt as required to meet deadlines and commitments.
Requirements:
- Ability to make informed decisions and be accountable.
- Strong problemsolving skills and ability to overcome financial issues.
- Proficiency in analysing financial expenditure and cash flow information.
- Excellent organizational skills and ability to prioritize workload.
- Strong communication and coordination skills within a multidisciplinary team.
- Ability to remain calm and work under pressure in a busy environment.
- Experience with financial forecasting and analysis.
- Familiarity with surveys and audits on project accounts.
- Proficiency in Microsoft Office, particularly Word and advanced Excel.
- Previous experience working in a busy Capital Projects Team or similar.
- Experience in writing, issuing, and presenting reports.
