MAIN PURPOSE:

To assist in the running of the Service/Unit/Department in terms of operational, administrative and financial effectiveness, within the policies determined by The Disabilities Trust and within budgets, which will be prepared locally and agreed centrally.


MAIN TASKS AND RESPONSIBILITIES

  • Establish and monitor timely and efficient office systems using Microsoft Office
  • Carry out supervision and assist with the development of secretarial, administration and reception staff as necessary under guidance form the Service / Area Manager(s)
  • Ensuring IT policies and procedures are followed and up to date
  • Manage and monitor invoicing, debts, month end accounts and daily banking systems
  • Manage, monitor and audit service payroll systems
  • Set up and maintain systems for managing and monitoring all aspects of income and expenditure including a capital expenditure plan and monthly spending
  • Produce management reports and statistics
  • Ensure service user funding, benefits, income and expenditure are audited on admission and monitored ongoing in accordance with agreed requirements
  • Manage cheque request system and maintain Asset register
  • Monitor agreements and contracts and ensure they are kept up to date
  • Ensure service user funding is regularly reviewed and all information is kept up to date
  • Manage and monitor fee invoicing, petty cash, reconciliations for accounts, credit control, month end processes and banking systems where necessary and if required
  • Assist with the marketing of the service ensuring costs and marketing information are sent out on a timely basis
  • Attend management meetings as required
  • To undertake any other duties as may from time to time be specified by the Trust, that is within the level and responsibility appropriate to the grade of post
To undertake, any reasonable travelling requirements, in order to fulfil the tasks and responsibilities of the role.


PERSONAL DEVELOPMENT, SUPERVISION AND TRAINING

  • Participate in regular support and supervision from line management
  • Continuously develop professional knowledge and expertise, attending and participating in learning and development events, meetings, conferences, and events (as requested/approved by line management) to ensure up to date knowledge relevant to the role
  • Attend and participate in regular team and other meetings, both internal and external

  • The post holder will be expected, at all times, to be familiar and comply with the written policies, procedures and guidelines for good practice, issued by The Disabilities Trust
  • Ensure the Health & Safety policy and procedures are adhered to at all times
  • Take personal responsibility for own health and safety and report incidents and potential hazards as necessary.
