With excellent leadership and management, Haresfield & Kempsey Surgeries is a long established city based practice with approx. 17,000 patients, 3600 of which are Dispensing Patients.

Based in a large modern purpose built medical centre in Worcester with a village branch Dispensary, clinical and operational teams work collaboratively, striving towards outstanding patient service.

Job summary:


The purpose of the role is to:

  • Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone
  • Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way
  • Undertake a variety of administrative duties to assist in the smooth running of the practice including the provision of secretarial and clerical support to clinical staff and other members of the practice team
  • Facilitate effective communication between patients, members the primary health care team, secondary care and other associated healthcare agencies

Duties and responsibilities:


The duties and responsibilities to be undertaken by members of the practice administration team may include any or all of the items in the following list.

Duties may be varied from time to time under the direction of the practice manager, dependent on current and evolving practice workload and staffing levels:


  • Data input, data extraction, photocopying, faxing, filing and typing duties as directed
  • To support the team to maintain accurate, timely and legible records, and undertake summarising of records when required.
  • To answer/deal with queries, both face to face and via the telephone, take messages and pass them on to the relevant member of staff in an appropriate and timely manner
  • To maintain strict confidentiality at all times
  • Attend and take part in team meetings and regular reviews with line manager etc
  • To support and guide surgery staff with use of the computer system
  • To troubleshoot IT hardware and software issues and where needed report faults to 3rd party suppliers and track progress through to resolution.
  • To develop and manage an equipment asset register for the different departments at the practice.
  • To liaise and interact with other users and colleagues as and when required in a professional manner
  • To obtain and retrieve clinical/nonclinical records as requested and process Subject Access requests
  • To maintain filing systems in line with surgery Policies and Procedures.
  • To coordinate and make the necessary arrangements for events run by the surgery
  • To undertake batch texting and printing e.g. appointment runs
  • To support the control of clinics/appointments, retrieve records, liaising with patients, staff, other health professionals or outside agencies.
  • To collect, store and retrieve medical records or other clinical information
  • To type / word process routine documents as appropriate
  • To assist with the ordering and maintenance of stock supplies (specific to role as appropriate)
  • To assist in the administration process associated with service audits (specific to role as appropriate).

  • Information relating to patients, carers, colleagues, other healthcare workers or the business of the practice may only be divulged to authorised persons in accordance with the practice policies and procedures relating to confidentiality and the protection of personal and sensitive data
