Job Overview:


Reporting to the Bid Administration Manager, the Bid Coordinator will be responsible for administration associated with bid and sales processes, and for the completion of PQQ, RFI and basic ITT documents.

In a consistently busy and deadline-driven function, it is essential that the Bid Coordinator is able to carry out their duties accurately, at pace and work across multiple deadlines.


Main Duties

  • Work closely and collaboratively with bid team, sales team and operational colleagues to ensure clear oversight of all administrative tasks associated with bid processes
  • Support the Bid Administration Manager with the ongoing management of all bid portal registrations, including comprehensive recordkeeping to enable portal access at all times
  • Administration and daily management of shared bid team mailboxes to ensure all correspondence is dealt with swiftly
  • Support with tender administration, including acting as first point of review of tender advertisements and liaison with the Sales teams to establish their interest in opportunities identified
  • Supporting Bid Administration Manager with the management of team activity trackers
  • Oversight of Bid/No Bid process to ensure compliance with governance processes and trigger bid management processes
  • Introduce and implement all necessary governance procedures and processes associated with Bid Team activity
  • Support in maintaining Bid Team SharePoint and Teams sites to enable effective and efficient management of tender processes, including set up of relevant channels for each bid opportunity
  • Assist with, and lead, completion of standard information documents at all stages of the bid lifecycle
  • Assist with, and lead, processes for upload of completed response documents to bid portals etc. as required
  • Support with audit activity to ensure compliance with internal audit standards and governance measures for the end to end tender lifecycle

  • Experience and/or knowledge of bid management disciplines and procedures
