Location
This role will be based at either our Kings Langley or Exeter offices on a hybrid basis.


Job Purpose


The purpose of the Operations and Maintenance (O&M) Coordinator role is to assist with contractual and statutory compliance for a portfolio of O&M contracts, following company safety, quality and environmental systems.

Reporting to the Regional O&M Manager, you will help maximise the production from client assets, increase maintenance efficiency and achieve a high level of safety performance.

You will be from a coordination or administration background with some experience of maintenance procedures or operating assets. A high level of organisation and computer literacy is required to be successful in this role. This is a permanent role which is primarily home/ office based to work in the South Midlands area.

The business operates and maintains a portfolio of solar and storage assets and has ambitious plans to further expand the services offered.


Key Accountabilities


The O&M Coordinator will focus on the daily, weekly and monthly needs of the O&M service, supporting the regional O&M managers and other staff to provide the service in a safe, compliant, professional, and cost-effective manner.


The responsibilities of the O&M Coordinator include:

  • Respond to daily requests for support from the site technicians, prioritise any issues, and escalate as required
  • Achieve and maintain Authorised Person status determined by training received, experience gained and inline with individual job role requirements
  • Monitoring compliance with maintenance schedules, ensure high quality of documentation of completed maintenance, identify upcoming maintenance tasks, highlight overdue items for attention, action low stock items.
  • Compile summaries of maintenance work completed, collating photographs, and drafting relevant insights, for monthly client reporting.
  • Stock management and procurement of materials. Lead an improvement activity to increase the quality and efficiency of this task.
  • Support technicians with skip/plant hire and waste disposal needs.
  • Administer equipment warranty claims
  • Coordinate PPE maintenance and new orders
  • Maintain a Computerised Maintenance Management System (CMMS) and other quality management tools
  • Ensure client invoicing for any chargeable items (including spare parts) is carried out accurately and promptly
  • Provide administrative support for field technicians, including booking travel and accommodation
  • Help organise team meetings and annual team events
  • Manage the grounds maintenance needs of the site in accordance with the contract, including liaison with technicians, subcontractors, internal support staff and client. This includes budgeting, pricing, contracting, scheduling, reviewing RAMS, planning works, and progressing followup actions.
  • Progress corrective maintenance of civils structures including framework, foundations, and fencing. Undertake warranty claims.
  • Support monthly & annual reporting tasks
  • Contribute to Thrive costsaving and other company initiatives
  • Partially deputise for the O&M manager, including approval of Upkeep WOs
  • Analyse maintenance KPIs and highlighting trends and anomalies
  • Track and compile the compliance score for solar O&M
  • Support the monitoring and escalation of site performance
  • Other responsibilities determined by the role
  • Tasks to be adopted once other major tasks are underway
