Job Summary

What is the opportunity?


You will be the Team Administrative Assistant and PA within the Law Group function that serves Wealth Management at RBC.


We are a department of 10 people currently consisting of 8 lawyers, 1 paralegal - and - the Team Administrative Assistant who accepts this role.

We are the in-house lawyers for RBC Brewin Dolphin (the Wealth Management division) and RBC Wealth Management International.

The role is based in London.


You will be required to provide administrative support and assistance to the lawyers within the department and engage with the business across all of our locations (UK, Ireland and Jersey) and departments.


What will you do?

  • Provide general administrative support for the lawyers in the Law Group, which may include the following:
  • Maintaining accurate and up to date matter files (including archiving) on the file management system
  • Photocopy and print documents
  • Formatting and typing documents and presentations
  • Information retrieval in relation to existing or historic matters
  • Document execution
  • Booking meeting rooms and catering
  • Diary management and appointments for the team.
  • Prepare the management information and reports
  • Create Purchase Orders and arrange payment for invoices and liaising with suppliers/third parties, as required
  • Answer telephones and deal with relevant administrative queries, ensuring they are handled professionally and in a timely manner
  • Arrange the internal meetings, distribute papers, track actions and take minutes
  • Manage travel and accommodation requirements and expenses for the team as required
  • Maintain the electronic resources and intranet pages
  • Maintain and update the procedures on an ad hoc basis
  • Liaise with the other areas of the business (such as IT, Investment Management, Compliance, Vendor Management and the Executive Committee) or external counterparties where necessary
  • Escalate issues to senior members of team, when required
  • Manage time effectively and efficiently, using appropriate judgment in determining allocation of time to certain issues/matters
  • Undertake any other ad hoc tasks or provide such other assistance on matters relating to the business as may be required from time to time.

What do you need to succeed?

Must-have

  • A good general education to A Level standard or equivalent
  • PA qualification preferable (NVQ, specialist college or similar)
  • Good experience preferably secretarial experience within a legal or financial services firm (providing support at partner or equivalent level)
  • A strong understanding of confidentiality and data protection requirements
  • An understanding of general Financial Services and/or Wealth Management would be an advantage
  • Experience with using, to a reasonable degree of competency, the Microsoft Office suite (Word, Excel, PowerPoint, Outlook).

  • Competent at compiling reports and preparing written material generally, with a good eye for detail
  • Takes their work, but not themselves, seriously.
