Job summary
Support the Contract Manager/Contract Officers by co-ordinating resolution of inspection outcomes and administering IT systems and maintenance and services contracts to ensure adherence to statutory regulatory and contract service level agreements ensuring any risks or service failure identified are actioned appropriately raising referrals through tenancy support to address breaches shared spaces sterile policy and raising works orders through external suppliers supporting customer resolution service charge queries.
Responsibilities
- Review inspection grounds maintenance pest control tree survey inspections etc triage outcomes based on risk
- Collate assign allocate Property Management Building Safety inspections outputsrecommendations internal stakeholders salesforce case management system C365 management actions external contractors job management system Open Housing
- Plan commissioning monitor all site activity successful completion < / li > < li >Update IT system property inspections quality standards frequencies dates Access review building management information BIM C365 Incident tracker fire risk assessments Communication Property Managers Building safety inspectors seek clarity risks issues recommendations access assess site quality services Support day day contract management services managing supply chain enquiries proactive communication reactive communication around delivery colleagues maintain accurate compliance records Monitor progress compliance works including carried thirdparty contractors ensuring obligations fulfilled agreed performance frameworks underperformance escalated via routes Support TORT process tenancy enforcement remove items stored communal areas compromising buildings customers Customer relationship Management CRM cases created liaison legal enforcement team local property managers building safety inspectors Manage site activity including checking processing communicating stakeholders storage provision surveys internal external stakeholders Manage enquiries effectively providing clear supportive advice signposting escalating complaints complex queries appropriate channels effective resolution Process payments approved contracted works expenditure robustly managed financial controls Manage internal external stakeholders colleagues thirdpartysuppliers solicitors Environmental Health Officers providing advice support building constructive working relationships deliver compliance objectives Coordinate postinspections adhere specifications workorders compliance statutory regulatory requirements Group policies standards Coordinate access shared spaces range stakeholders contractors consultants Ensure business processes followed in line with Groups policy procedures statutory requirements Contribute continuous improvement processes procedures Respond flexibly necessary changes work priorities undertake duties required support operation service Ensure data protection health safety requirements met according Groups policy procedures statutory requirements
