Job Summary


This role is responsible to support our online recruiting and on-boarding module to all new hires across the business and ensure the managers and future starters are supported through the online process with any queries.


You will be required to learn the TMS (Talent Management System) system and the process to support managers when they call so you will need to have good attention to detail, be accurate and compliant and take pride in your work.


Key Responsibilities
Service Delivery

  • Manage and support the phone lines open from 9am to 5pm
  • Act as the first point of contact supporting managers on the TMS system
  • Be responsible for the TMS phone line by monitoring call wait times
  • Provide consistent and expert advice in line with HR policies and country legislation
  • Outbound calls are high where we need to resolve all onboarding queries identified to ensure the process is completed in full and the associate is paid correctly
  • Create contracts of employment to be shared with future starters and conducting follow up calls to support with any queries
  • Initiating the onboarding process for future starters and conducting follow up calls to support with any queries
  • Manage and maintain accuracy in all your correspondence
  • Log frequent TMS issues to support with future training
  • Identify opportunities for process improvements and work with your manager to make recommendations
  • Support your manager with daytoday activities
  • View reports to highlight and identify discrepancies and issues and work with your manager to resolve
  • Contribute to suggestions to improve the service and look for opportunities to provide materials to managers to make their lives easier
  • Support team members with any queries

Other

  • Maintain a high level of knowledge of the TMS system and the processes
  • Attend Training and upskill sessions delivered by the HRSC Manager
  • Support with User acceptance testing (UAT) of upgrades, new releases, integrations for our HR systems

  • Confident and credible as the face of HR to the business
  • Experience of conflict management and resolution
  • Customer focused
  • Ability to challenge tactfully and to build capability to selfserve
  • Able to work to tight deadlines
  • Accuracy is critical in this role
  • Attention to detail is essential
  • Ability to work accurately under pressure while maintaining high customer service standards
  • Excellent communication skills both written and oral
  • Excellent IT skills with knowledge of Word and Excel
  • Positive and confident approach
  • Ability to spot patterns and identify where there is an opportunity for improvement
  • HR Professional education or qualification ideal
  • Experience of working in a HR Service Centre would be an advantage
