EB Recruitment is seeking an experienced Office Supervisor or Office Manager to join a growing professional services firm. Based within their Glasgow office this role will involve supervising a team of receptionists and back office staff.
Reporting to the Operations Director, this varied role will involve:
- Main point of contact for back office function
- Coordinate, organise and schedule meetings and appointments
- Support with HR duties, team management etc
- Organise office operations and procedures
- Coordinate with IT department on all office equipment
- Contractor management
- Assist reception with visitors, calls and requests internally and externally
- Assist with PowerPoint requirements within the firm
- Senior management diary management
- Responsible for managing the office function, ensuring office operations and procedures are followed including process improvement
- Workflow management
- Project management
- Reporting to the senior team
- Responsible for recruiting staff for the office and new starter processes
- Provide ongoing coaching, mentoring and guidance to the team
- Finance management
- Coordinate and execute firm events
- Oversee file management process
- Support with customer inquiries and complaints
- Build relationships across the firm
- Provide cover in emergency situations e.g. sickness and holidays
- Health & Safety
- Ad hoc duties as requested by the business
Skills and experience required:
- Must have supervisory or management experience within a reception/administrative environment, professional services advantageous
- Knowledge of office management & facilities responsibilities, systems, and procedures
- Ability to prioritise and multitask
- Possess excellent communication skills
- Strong organisational and planning skills
- Proficient in MS Office, IT systems
- Experienced with financial/accounting, reporting, administrative management procedures and business principles
- HR knowledge
- Knowledge of Health and Safety and performing risk assessments
Please note, this role is fully office based (5 days)

Up to £35,000.00 per year
