25 hours a week Business Administration Apprentice at Brent Mencap
Brent Mencap (a dynamic local charity) operates in a Victorian Building with a fantastic garden In Willesden. We host several other local charities.

We have a growing staff team of project workers, health and wellbeing coaches, care navigators and social prescribing link workers based on GP practices and projects providing small group activities on site for people with a learning disability.


We haven't had the time or money recently to improve our website or develop a real social media presence but that's about to change.

We are looking for an enthusiastic, organised and imaginative business administration apprentice to be responsible for our website, marketing, social media, publicity and some finance tasks.

They will also provide excellent customer service to callers and visitors and sometimes support senior staff.


This post could suit someone looking to develop a career in charity administration or with transferable skills looking for a career change.

As a level 3 or 5 apprentice, 6 hours a week will be spent on external courses, reading or course related tasks, 11 hours on marketing, administration and customer service and 8 on finance related work.

Applicants must be able and willing to work on both these key aspects.

This apprentice contract is offered as an 18-month fixed term contract on a salary equivalent to the London Living wage (currently £11.95 per hour or £15535 p.a. for 25 hours. ) with a view to the postholder becoming a permanent member of staff when the apprenticeship is successfully completed

You will

  • Develop and update our website and social media, create content and communicate clearly how we change Brent people's lives
  • Develop and circulate accessible i.e., easyread paperbased information, newsletters and leaflets
  • Ensure staff and users regularly provide content, photos and stories
  • Order goods, check purchase orders, invoices, bank statements and input financial information accurately into Quick books (at least 8 hours per week)
  • Show loads of initiative and be used to (or able to adapt to) a busy but friendly environment
  • Solve problems in realtime and improve processes.
  • Be able to work to deadlines, have an eye for detail, manage a busy workload and prioritise tasks
We expect the successful person to work at our office base with occasional late afternoon or evenings required


Website, Social Media Marketing and Publicity tasks include

  • Preparing and distributing Easy Read Newsletters by post, electronically and in reception
  • Leading on development and implementation of our social media strategy, get content from staff update website and social media content regularly or at short notice
  • Producing and printing accessible publicity material, ensuring posters, magazines & flyers in reception and street windows are eye catching and up to date
  • Sending information about our activities etc to new enquirers or speaking to visitors in person

Finance Tasks

  • Raise purchase orders for signature by CEO and enter onto QuickBooks
  • Check Staff Expense Claims and enter into Quickbooks
  • Reconcile Bank and Credit Cards with statements on QuickBooks
  • Enter Supplier payments onto Quickbooks
  • Enter cash payments received on receipts register on Excel
  • Ensure photocopier has adequate supplies and support staff with queries
  • Check stationery and cleaning materials and order
  • Filing of finance and executive committee paperwork
  • Assist with funding bids by getting quotations and prices from contractors or suppliers
  • Assist with new starter finance related paperwork/forms using an Access database.

Customer service tasks include

  • Welcoming visitors, answering phone & buzzer and ensure people access the right service or information, signposting them to colleagues and partners.
  • Supporting activity group members register new members, attendances, send out new schedules, preparing attendance lists
  • Order food, refreshments for events, cleaning supplies etc

HR and staff/volunteer management and trustee support

  • Develop volunteer role descriptions, recruit and support potential volunteers for admin tasks or activities, completing volunteer paperwork and induction. Record all volunteer hours.
