Description
We are a Hospice with an excellent reputation within the community we serve. We currently have a vacancy for a receptionist at our Head Office in Blackett Avenue, Newport.

This is an exciting opportunity to work for a well-respected charity helping to provide care and support for patients and families in the local community.


The receptionist is responsible for the smooth running of the reception area and ensuring that all visitors and patients are greeted in a professional and courteous manner.

All telephone calls to reception must be answered promptly and directed to the appropriate person or department.

Blackett Avenue Day and Inpatient Hospice sites, Newport


Hours of Working: 15 hours a week (Monday and Tuesday each week with flexibility to cover holidays and sickness as required)

  • This is a responsible job, as the post holder will be expected to use their own initiative, deal with patients, relatives, health and social care professionals; and hospice staff.
  • The post holder is responsible for the smooth running of the reception area and what goes on in it.
  • The post holder needs to be an excellent communicator to ensure that all patients and visitors are greeted in a highly professional manner.
  • The post holder will also undertake a variety of other general administrative tasks to support the work of all departments within the organisation.
  • To ensure that the telephone is answered promptly and calls put through to the appropriate department/person.
  • To recruit, induct and mentor volunteers to work as key persons to the success of reception experience and service.

Key Areas of Responsibility:


  • To ensure confidentiality and comply with the terms of the Data Protection Act at all times.
  • To maintain appearance and behaviour in keeping with a member of the professional day hospice team and cooperate with and gain an understanding of the professional roles of others.
  • To maintain all up to date mandatory training requirements.
  • To be responsible for the appearance of reception at all times.
  • Typing of daytoday correspondence and reports on behalf of the Family Support Team, Clinical Nurse Specialists and other professionals working in the hospice, using a PC with Windowsbased software and other additional software databases.
  • To manage, oversee and handle incoming and outgoing post.
  • To oversee and manage the answering of telephone calls via the switchboard.
  • To manage the booking system within the clinics.
  • Ensure that visitors and patients are welcomed and made to feel welcome.
  • Ensure that visitors are provided with refreshments on arrival.
  • To maintain and manage the booking system for the meeting rooms.
  • To manage and oversee the bookings for organised visits to the Day Hospice in liaison with the relevant members of staff.
  • To manage and oversee the distribution of visitor passes whist adhering to the Health and Safety policy.
  • Ensure that all staff and visitors sign in and out of the building in line with the Health and Safety policy and using the Inventry system.
  • To recruit volunteer to help with the administration and supervise those volunteers.
  • Ensure that all donations received are issued with receipts in line with SDHC Policy.
  • To ensure and oversee the ordering of stationary and stores and other essential items as directed by management.

PERSON SPECIFICATION

Essential:

  • GCSE or equivalent in Maths and English
  • Good basic level of education
  • I.T. literate
  • Working with the public
  • Excellent face to face communication and interpersonal skills
  • Ability to work with minimum supervision
  • Excellent organisational and communication skills
  • Articulate and flexible
  • Proven ability to manage and prioritise a defined workload
  • To carry out any duties which may be required and to provide cover for the Corporate Secretary in the event of absences and sickness.

Desirable:

  • Experience in a similar type role
  • Experience of working within the voluntary sector
  • Experience of working in a healthcare setting
  • Proven experience of managing a small team of volunteers
  • Bilingual/Welsh speaker
