About the Role
We're looking for an Office/Operations Assistant who will join us on our journey of extraordinary growth.


You will be joining our Operations team, providing support to our Office Manager and helping to ensure that we're providing a safe and welcoming environment to both our fellow Trailmixers and our guests.

You'll collaborate with our IT, People Ops, and Finance teams, as well as being a key point of contact for support for the wider team.

The role offers the opportunity to be involved in a variety of projects, as well as assisting with the day-to-day running of the office, and supporting the continuous improvement of our Operations processes.


Responsibilities

  • Help ensure our office continues to be a safe and fun place to be for our (growing) team so they can do their best work
  • Act as first POC for the team and studio
- greeting and hosting visitors, receiving deliveries, monitoring access control systems etc

  • Build and maintain relationships with external stakeholders
- e.g Contractors and third parties

  • Assess, prioritise, resolve, and escalate tickets within the 'Ask Ops' internal ticketing system to ensure things like maintenance, travel and team moves are resolves quickly and effectively
  • Proactively oversee the PPM schedule, scheduling maintenance when required, as well as responding to onthespot maintenance requests
  • Updating and maintaining H&S accreditations and training
  • Office purchasing and company card reconciliation & receipts
  • Assist with the organisation and hosting of company events
- e.g. Trailaway, Christmas party

  • Take ownership of updating the office calendar & organising team birthdays
  • New starter administration and onboarding support
  • Support with other ad hoc administrative, operational or office related tasks & projects

Requirements:


  • Previous experience in an Office/Operations Assistant/Administrator role or similar relevant administrative experience
  • Good communication skills, with the ability to build relationships with both internal and external stakeholders
  • Reliable, with strong organisational skills
  • Good attention to detail

Nice to have

  • Experience using Slack
  • Experience using GSuite

Location


Trailmix is currently operating under a hybrid work model - we have 3 days a week (Monday, Thursday & Friday) in person at our brand new studio in Kings Cross with the remaining 2 days available to work from home.


Please note that this role is required to remain flexible in line with the needs of the business, and therefore may at times differ from the typical hybrid working model.
