The Role; Executive Assistant to CEO

Purpose:


To manage the diary (and life) of the CEO so he can use his time/energy where they are most valuable to our businesses.

Create and maintain strong relationships with the Team and Business Partners.

Proactively identify areas where the CEO can be more effective, and implement systems/processes to create greater efficiency and allow our group to scale.


Essential duties and responsibilities

  • Build a great partnership with the CEO. Be able to second guess/predict movements to fulfil the vision of the Businesses.
  • Ensure effective communication between all team members
  • Take on a variety of projects that help the CEO, the businesses, and you grow
  • Use worldclass organisational skills to manage CEO's time/tasks effectively and explore ways to create greater efficiency
  • Be the CEO's eyes and ears and feedback regarding any issues within company

PA/Diary Management

  • Schedule/confirm all external calls/meetings and rearrange where necessary
  • Book, prepare, and timemanage our companywide meeting rhythm: annual/quarterly/monthly strategic planning sessions, and weekly tactical meetings with leadership team/key contributors
  • Book business class travel/5* accommodation for all business trips at the best price possible
  • Be thoughtful and generous when it comes to gift purchasing for clients, team members, and strategic partners
  • Protect/make time for family, holidays, endurance events and anything else the CEO wants to do

Home/Personal

  • Create and maintain a strong working relationship with CEO's partner and family
  • Setup and manage payments from personal bank account (school fees, clubs/activities, golf trips, utilities, etc)
  • Ensure home/cars are maintained to the highest standard (organise/liaise with cleaners, gardener, oddjob man, decorator, etc)
  • Personal life admin for the CEO and his family, e.g. organising home insurance, passports, travel insurance, driving licenses etc.
  • Open, sort and file post
  • Book personal/family holidays and experiences arrange luxury trips for birthdays, anniversaries, etc

Property Business

  • Liaise with external stakeholders on behalf of the CEO
  • Manage the bank account for the property business
  • Accountant / Bookkeeper point of contact
  • Organise regular meetings with stakeholders

Skills and Abilities

  • Demonstrate high level prioritising and organisation skills
  • Perform at a high level/pace, stay calm and focused under pressure
  • Find solutions not obstacles
  • Deliver high quality verbal and written communications
  • Have a flexible approach to work and demands of the business/CEO when needed
  • Inspire and motivate live and breathe our values
  • Understand and be aware of various personality profiles within the team
  • Think ahead and foresee issues on behalf of the CEO and the Director team, especially around people and staffing issues
  • Be a 'safe' sounding (ranting) board for CEO, Directors and Team, maintaining 100% confidentiality at all times

  • Regular visits to CEO's house in Quorn, Leicestershire to pick up post / file documents and for meetings with CEO.
  • Occasionally from other locations if required to support CEO at events

Salary:
£30,000.00-£40,000.00 per year
