Job Purpose

To provide effective and efficient administration support for operational processes that maintain the effective running of the College of Arts and its constituent Schools.

The role holder will be deployed across the College to meet current operational need with initial deployment expected to be in the School of Modern Languages & Cultures up to half of the week (0.5FTE maximum in SMLC).

As a progressive and constantly evolving institution, the University implements new systems and adopts new ways of working, and over time the role holder can expect to be deployed in other areas of the College to cover business needs.

This will provide the role holder with the opportunity to acquire a variety of skills and experience.


Main Duties and Responsibilities

  • Provide efficient operational support across a range of transactional activities, using University business systems to ensure a high level of service quality and the efficient running of operational activities.
  • Process purchase orders for specific budget areas, ensuring compliance with University procurement policies.
  • Provide support for the processing of employment-related expenses and expenditure, ensuring compliance with relevant University policies and where applicable, advising colleagues.
  • Provide excellent customer service to help resolve enquiries across a range of activities across multiple stakeholders in line with existing systems or processes. This will include in person at reception, via shared service enquiry mailboxes and via telephone. Act as first point of contact to resolve where possible, and seeking guidance from or escalating to appropriate persons where necessary.
  • Prepare documents, presentations and other materials to a clear brief, using established formats and standard software packages.
  • Where required prepare straightforward analysis, manipulation and interpretation of data to support the operations of the School.
  • Undertake additional duties and tasks as required by appropriate line management.

Knowledge, Qualifications, Skills and Experience

Knowledge/Qualifications

Essential

A1 Either:

Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role, OR a Scottish Credit and Qualification Framework level 5 or 6 (National 5 or 6, Scottish Vocational Qualification level 2 or 3) or equivalent, and experience of personal development in a similar role.

A2 Awareness of confidentiality.


Desirable
B1 Knowledge of the further / higher education policies and procedures.
B2 Knowledge of other software / business systems e.g. Agresso, T4 web publishing


Skills

Essential
C1 Accuracy and attention to detail
C2 Effective IT and numeracy skills.
C3 Excellent time management skills and ability to prioritise a busy workload and work to agreed deadlines.
C4 Demonstrable commitment to continuous improvement activities.

C7 Ability to prepare routine correspondence.


Experience

Essential
E1 Experience of MS Office packages e.g. Word, Outlook, Excel, Teams, SharePoint.
E2 Experience of working within a team.
E3 Experience of dealing effectively with a range of customers.
E4 Experience of prioritising day to day tasks and working to deadlines.
E5 Proactive approach to problem-solving; able to take initiative within agreed guidelines.


Desirable
F1 Experience of working in a higher or further education setting.


Terms and Conditions
Salary will be Grade 4, £22,197 - £24,715 per annum.
This post is full time (35 hours per week) and open ended.
