Job Profile
To support the smooth and effective administration and co-ordination of CAFOD's International Programme.

The post holder provides direct support to the Deputy Director of International Programmes and will also be responsible for administrating and coordinating central business systems for teams across the International Programme.

The postholder is somebody who is excited by technology, with an in-depth knowledge of working with SharePoint and MS Office.


The postholder will act as central point of information for the International Programmes Group and work closely with the International Programmes Coordinator and the International Operations Support Officer, providing cover during absences.


The post holds a high degree of cross group as well as cross organisational working and requires the post holder to build effective working relationships both within the International Programme (IP) and with relevant colleagues across CAFOD.

The post is managed by the International Programme Coordinator.


Key Responsibilities

Support to Deputy Director of International Programmes (20%)

  • In conjunction with the International Operations Team (IOT), support travel and visa arrangements.
  • Provide support to consultants and with consultancy agreements.
  • Act as an administrative point of contact for Disasters Emergency Committee (DEC)

Financial Management and Reporting Support (15%):

  • Provide support to the the Deputy Director and Head of International Finance & Business Support in coordinating annual budgeting in liaison with finance focal points;
  • Provide support and advice in managing General Emergencies Fund (GEF) and General Development Fund (GDF) allocations ensuring criteria are relevant and up to date
  • Provide regular GEF & GDF spend analysis reports
  • Administer IP membership grants, endowment grants, solidarity grants and selected strategic partnerships, and process related invoices as required;
  • Manage the payment of invoices.
  • Support the Deputy Director's teams line reports in conducting deskbased research, document management and reporting required for the IEPM change project.

Administration & Coordination Support (40%):


  • With relevant Regional Support Officers, support corporate procedures during emergencies, including coordinating the planning of agendas and logistics for International Emergency Committee (IEC) and Corporate Emergency Committee (CEC), Emergency Monitoring Group (EMG),
  • Coordinate Humanitarian Deep Dives and other IP meetings and ensuring the timely preparation and circulation of papers, preparing minutes, and monitoring the completion of agreed action points and meeting outcomes.
  • Act as focal point for Caritas Internationalis (CI) Member Organisations the Disasters and Emergency Committee (DEC), the START Network and the CHS [Core Humanitarian Standards] Alliance;
  • In conjunction with the International Programme Coordinator (IPC) provide back up support to the Director of International Programmes and Deputy Director of International Programmes in the maintenance and support to the International Programme Management Team (IPMT)

Technology & Information Management (25%)

  • Coordinate the efficient and smooth running of International Programmes business, project management and information systems (SharePoint, WebPromise, Tableau) and procedures and provide inductions and training to new starters and staff as required.
  • In conjunction with the IPC, hold an oversight of SharePoint sites and permissions across IP ensuring information is accurate and up to date
  • Support and develop new and innovative ways of working on Sharepoint.
  • Support & develop information resources and networks particularly for CAFOD's Integral Ecology Programme model (IEPM)
  • In conjunction with the IPC and International Operations Team, work with IP staff to ensure that there is a good level of understanding of CAFOD's operating systems, policies and procedures, and where necessary provide training and induction.
