FULL-TIMEADMINISTRATIVE ASSISTANT
Hours per week: 36.5 hrs per week


Location:
Central Luton, PERMANENT.

This is rare and exciting opportunity to join a small knit office-based team, to be at the heart of the next 5-year strategic plan where you can bring your organisational, confident personality and communication skills and carry out a very varied role.

Yourcontribution will be a result of the future success of this well-established company with over 1000 members and 80 external contributors, currently.

**THE COMPANY

Jaguar White are exclusively partnering with this forward-thinking company, in the cosmetic science industry across UK and Ireland and they are composed of more than 1000 professionals from both academic and industrial sectors involved in cosmetics and relatedsciences.

**JOB PURPOSE
To support the administration of the office through, membership administrative duties including accounts administration.

**KEY RESPONSIBILITIES

Membership & Database

  • Maintain an uptodate record of the membership database
  • Liaise with the Membership Committee to provide membership information and updates
  • Support on events
  • Responsible for communicating with the coorganisers and keeping financial records relating to the annual exhibition
  • Support on the administration of the Seminars and Awards for the exhibition
  • Support on the administration of Programmes and potential sponsors including involvement in meetings.

Accounting Payable/Receivable

  • Responsible for invoice payments (in time)
  • Processing card payments
  • Keeping robust records and an updated reporting system
  • Liaison with the Accountant

Office Maintenance

  • Responsible for office maintenance and liaison with landlords
  • Responsible for office supplies and maintenance of equipment
**REQUIREMENTS

  • Proven administrative experience in a similar role,within a smaller office base. 5 years+.
  • Superb written, verbal, and interpersonal English skills
  • Excellent attention to detail and honest work ethic
  • Strong time-management skills and organisational ability
  • Familiarity with office procedures and basic purchase and sales invoice administration - accuracy with figures.
  • Proficient in Excel, Word, and Office 365 platforms with the aptitude to learn new software and systems
**DESIRED QUALIFICATIONS
Any administrative/secretarial qualification is a distinct advantage or qualified by experience a solid5+ years.
English and Maths equivalent to grade C GCSE or above and senior administration or PA experience.
