An opportunity has arisen for a highly motivated and experienced surgical booked to join our extremely busy department. We are looking for someone with an approachable, helpful, flexible attitude who enjoys working as part of a team.

You should have a good standard of English as well as good communication, administrative, and organisational skills and be able to work to deadlines.

Medical terminology knowledge is advantageous.


The main responsibilities will include monitoring and managing the surgical waiting list, working closely with the team leader to ensure surgical lists are fully utilised, issues are resolved quickly and patients are kept informed of any changes to their surgical plan.

A keen eye for detail, typing accuracy, willingness to learn and the ability to pick up new IT systems are therefore essential, as is the ability to prioritise and multi-task.

Good communication skills are essential as the role will involve contact with patients, GPs, and colleagues of all levels.

Main duties of the job

To oversee the day to day surgical booking process.

To be aware of national targets and to ensure patients are booked in a timely manner.

To communicate clearly and effectively with the consultants, secretarys, nurses and junior doctors.


To work closely with the team leader to ensure lists are fully utilised and patients are informed of their surgery details.

To attend the cancer PTL meetings and provide critical updates on cancer patients.


To attend the theatre bookings meeting to ensure the theatre team are kept up to date with any changes to our surgical lists.

To send admission letters to patients once their surgery date is confirmed.

Manage patient expectations and sometimes make difficult phone calls informing patients of cancellations or last minute changes.

Qualifications:

Essential criteria

  • Educated to A level or NVQ level 3 Customer Service/ Business Admin /ITQ or equivalent.
Experience

Essential criteria

Experience of working in a busy clerical/office environment or reception service.

Prioritising, planning and organising own tasks.

Working within guidelines.

Experience of dealing with difficult situations and confrontations.

Data entry experience and documentation.

Experience of IT packages - Microsoft office.

  • Experience of producing documents to a high standard.
Desirable criteria

  • Previous experience of working in healthcare or Public Sector.
Knowledge

Essential criteria

Basic Knowledge of waiting lists and booking procedures.

Understanding of confidentiality and data protection.

Sound knowledge of office procedures.

Understanding of current waiting times targets.
