Job Summary


The Office Coordinator will organise and coordinate office administration and procedures, in order to ensure organisational effectiveness, efficiency, and safety of the office.

This role is ideal for an energetic professional who doesn't mind wearing multiple hats.

It will encompass in handling a wide range of administrative duties and executive support-related tasks and able to work independently with little or no supervision.

Well organised, flexible, and enjoys the administrative challenges of supporting an office of diverse people.


In addition this role will, with the support of the Executive Assistant, support the senior leadership team in administration tasks as and when required.


Accountabilities and main responsibilities

Administration support

  • Provide support as and when required to members of the Executive Leadership Team (ELT) to include
  • Arranging of meetings
  • Managing expenses
  • Booking travel and accommodation when required
  • Assisting with the collation of documentation

Office Management

  • Day to day contact with the onsite landlord representative
  • Organise, set up and clear away lunch and/or refreshments as requested for meetings
  • Maintain the effective administration and accountability of all security/identification cards, parking permits, fobs and keys
  • Ensure that all regulation certificates are on display and updated
  • Taking and communicating messages to staff members accordingly.
  • Meeting and greeting all visitors in a professional & courteous manner.
  • Inform relevant host(s) of their visitors' arrival; offer refreshments and direct their attention to applicable policies.
  • Open, sort and distribute incoming mail and deliveries in a timely manner and be responsible for outgoing post.
  • Ensure office supplies such as tea, coffee, milk, stationery are ordered when needed
  • Arrange for the repair and maintenance of office equipment
  • Other duties as assigned by the Executive Assistant
  • Health and safety duties to include;
  • Ensuring legal requirements are met weekly Emergency light testing, Fire risk assessments etc
  • Arranging annual testing of equipment, fire extinguishers, lighting etc
  • Develop & maintain a relationship with the nominated Health and Safety provider to ensure existence and awareness of a suitable and relevant Health and Safety Policy
  • Ensure adequate firs aid supplier and maintained fire fighting equipment are available at all times
  • Undertake, and report on, proper and timely health and safety audits, with the support of the nominated provider
  • Monitor and resolve visit report actions following quarterly health and safety audits
  • Record incidents/accidents reported and action accordingly as and when necessary
  • Deal with any internal building issues reported in a timely and professional manner
  • Report to Executive Assistant on progress and actions taken
  • Regular health and safety checks of the building and offices
  • Maintain health and safety and environmental accreditations and files
  • Ensure that all regulation certificates are on display and updated
