Business Support & Marketing Administrator
Job overview:
An exciting opportunity has arisen to join our friendly team at Transatlantic Trading Company Ltd (TATC) based in Crediton, Devon in a new role as a Business Support & Marketing Administrator assisting the Senior Management Team (SMT).
Working in a small busy office you will be assisting the SMT in sales & marketing, administration and accounts duties in a varied and wide-ranging job.
With excellent IT, organisational and communication skills, a high level of attention to detail and the ability to work on your own initiative, you will be a key player in ensuring that the administration of the business flows smoothly, and that optimum levels of customer service are maintained at all times.
You will report to the MD, and the main functions and duties of this position will involve:Key Responsibilities
Sales & Marketing
- Assist with initiatives that drive brand awareness, including daytoday execution of marketing campaigns, promotions, and sales support
- Support the development of sales and marketing materials
- Prepare and schedule mailshots using Mailchimp
- Prepare and post social media content for use across Facebook, Instagram & LinkedIn
- Keep customers appraised of build status
- Prepare and send samples and Pre-Sales Pack to prospects and customers
- Keep TATC's website up to date, including the online Inventory
- Take intermediate photos and videos of inprogress vehicle builds, and assist with offsite photo shoots.
Business Support
- Maintain core company documents using Excel and other office systems
- Keep the vehicle allocation report up to date
- Order relevant vehicle documentation (eg Heritage Certificates, NOVA etc), and create and maintain accurate paper records for all customer purchase and documentation
- Maintain TATC's ticketing system using HubSpot and allocate/monitor followup action
- Ensure customer orders and records are accurate and saved across the various company data platforms
- Assist with test drives and local vehicle movements
- Assist with stock takes, and ensure records (including the Company's Asset Register) are kept up to date
- Book vehicle shipping via our shipping agents
- Prepare and send shipping documents and After-Sales packs to customers.
Accounts Administration
- Match purchase orders with delivery notes/invoices and resolving purchase invoice queries
- Scan supplier invoices on to Xero, TATC's accounts system
- Update the MD and/or Purchasing Manager about any delays or problems with orders and purchase invoices
- Prepare payment runs for approval and payment by the CEO
- Prepare reports for SMT using Xero and other reporting systems as required
- Collate monthend data for SMT and our external accountants
- Collate receipts and other data required for Pleo, TATC's company credit card payment system.
Person Spec
Essential
- Experienced in using Excel, Word and other IT and software systems
- Highly organised with excellent attention to detail
- Strong verbal and written communication skills
- Excellent organisational/time management skills
- An aptitude for learning new software and systems
- At least 2 years' experience in a similar role
- Clean driving licence.
Desirable
- Knowledge of HubSpot, and experience of marketing, website design and using social media in a business setting
- Knowledge & experience of using Xero and/or Zoho
- An interest in classic cars and/or vehicle restoration.
Salary range:
£25,000 - £32,000 per year, depending on skills and experience, plus performance-related bonus.
