Description
1.

To act as primary administrator for the departments Computer Aided Facilities Management System (CAFM) with particular focus on the Computerised Maintenance Management System module.


  • To monitor CAFM performance making suggestions as to how the service can be improved to aid productivity and efficiency. Making changes where appropriate.
  • To act as site contact for the CAFM system creators for system updates, system maintenance and to liaise with the appropriate lead for licencing.
  • Contributing to the Health Safety and wellbeing of persons undertaking maintenance activity and those who may be affected by their actions.
  • Coordinating with the maintenance managers, team leaders and contracted maintenance/verification/insurance inspection service providers to enable maintenance activity. To ensure risk assessment, method statements and safe systems of work have been received into the maintenance department and have been reviewed by the relevant maintenance department manager or team leader as appropriate.
  • To ensure the CAFM system is updated with "service/inspection carried out on" and "next service due dates" and all other relevant information.
  • Ensuring contractors have received an induction and receive a copy of the site safety rules and precautions for infection control.
  • Ensuring contractors and visitors complete the EM site attendance register accurately and in full, ensuring the instructing manager or team leader is made aware of the contractor/visitor and initials the attendance register.
  • To frequently check the attendance register to make sure a contractor/visitor is still on site, has not left without signing out or has failed to return keys etc.

  • To administer the control of keys ensuring both the contractor and instructing manager sign the appropriate logbook.
  • To take meeting minutes and create action logs for the Estate Maintenance compliance groups i.e. Water Safety group, Ventilation group and Electrical Safety group etc (all currently held every three months with an 'interval' meeting every month).
  • Supporting Estates management with invoices queries and timely payments.
